What are the responsibilities and job description for the Administrative Assistant - Labor Compliance & Accounting position at Floor Tech America, Inc.?
We are seeking an Administrative Assistant - with a focus on Accounting & Labor Compliance duties. The right person will be detail-oriented and highly organized and support our accounting and office departments to help streamline day-to-day operations.
Responsibilities include, but are not limited to:
- Assist with billing, accounts payable & receivables
- Maintain digital and physical documentation and filing systems
- Input and reconcile data into Quickbooks accounting software
- Respond to internal and external inquiries in a timely, professional manner
- Support month end and year end closing procedures
- Perform general administrative duties as needed
- Process, maintain and update project specific labor compliance & certified payroll documentation as needed
Qualifications desired:
- Adaptability: The capacity to quickly grasp new software and systems. This involves being comfortable with different user interfaces, features, and tools.
- Technical Proficiency: Familiarity with common compliance software (e.g., LCP Tracker, Ariba, eComply, Procore, etc) would be helpful, though the specific platforms might vary. Understanding how these systems integrate with broader organizational systems is important.
- Attention to Detail: Compliance platforms often involve complex rules, workflows, and reporting. The ability to navigate these platforms quickly while ensuring accuracy is critical.
- Training and Resource Utilization: Someone should be able to absorb training materials, documentation, and support resources quickly. It's also useful to be able to identify where to get help when needed, whether from colleagues or customer support.
- Problem-Solving Skills: Often, navigating new platforms means troubleshooting or figuring out how to best use a system. Being able to quickly identify and resolve issues is valuable.
Qualifications:
- Previous experience in billing, finance, labor compliance or other related fields
- 4 years of previous administrative experience, preferably in an accounting setting
- Proficient in Microsoft Office Suite (Excel, Work Outlook) is required
- Familiarity with Quickbooks accounting software is a plus
- High attention to detail and accuracy
- Ability to prioritize and multitask to meet deadlines
