Job Summary: The Administrative Assistant supports daily operations by coordinating scheduling, onboarding, offboarding and compliance tasks, while managing clerical duties such as correspondence, file organization, and documentation. The role also assists with bookkeeping, invoicing, and financial processes. Working closely with the administrative team, this position helps ensure smooth internal operations and fosters positive relationships with community partners, donors, and artists.
Responsibilities & Duties:
- Financial & HR Support
- Review and process invoices, deposits, and expense allocations for programs and grants.
- Provide payroll and benefits support, including timecard corrections, time-off tracking, and compliance with CA labor regulations.
- Assist with monthly reconciliation and administrative meetings to support accurate financial reporting.
- Administrative Operations
- Serve as primary administrative contact for Camp Flockworks, Kudos, and ASSETs programs.
- Coordinate hiring logistics, onboarding/offboarding, and documentation in Rippling.
- Maintain digital and physical filing systems, calendars, and compliance records (insurance, IRS, and state filings).
- Support donor tracking, internal communications, and policy implementation.
- Scheduling & Event Support
- Coordinate meetings, trainings, and program schedules across teams.
- Provide logistical and administrative support for community events, including volunteer coordination, permits, and day-of operations.
- Support partnerships through data collection and partner surveys.
- Community & Partner Engagement
- Build positive relationships with artists, donors, the City of Fort Bragg, and other community partners to advance collaborative projects.
Qualifications & Skills:
- Qualifications:
- Bilingual (English/Spanish) preferred
- Experience in administrative support, bookkeeping, and payroll systems (Rippling a plus)
- Proficient in Google Workspace, Slack, and Monday.com
- Knowledge of basic accounting and nonprofit operations
- Strong organization, communication, and problem-solving skills
- Ability to maintain confidentiality and adapt to new systems

Work Environment & Schedule
This is an in-person role based at the Flockworks office in Fort Bragg, CA, averaging 25–28 hours per week across four days. Occasional evening or weekend hours may be required for events or key deadlines. Reasonable accommodations are available for individuals with disabilities.
