Administrative Assistant Job Summary:
Essential Duties and Responsibilities:
- Greeting customers at the cashier window, answering customers’ questions and providing information on procedure or policies.
- Counting money in cash drawers to ensure amounts are correct and there is adequate change, as well as reconciling the cash drawers.
- Issuing receipts, refunds, credits, or change due to customers.
- Examine vehicle titles for accuracy. Confirm accurate title VIN number, odometer reading, releases of liens, and that titles contain no alteration, etc. Resolve titling issues through interaction with customers, dealers and regulatory agencies.
- Assist finance manager by performing routine clerical and administrative functions, such as, organizing finance contracts and other required paperwork.
- Perform State of Michigan paperwork utilizing CVR. (Issue metal plates and paper plates if needed)
- Report all sales to appropriate companies, New GM, Buick and Audi, Certified GM and Audi.
- Ensure that all paperwork is properly documented and that all verifying criteria needed by the manufacturer are processed correctly.
- Apply for applicable rebates for GM and Audi vehicles.
- File all car deals and corresponding paperwork in proper files in a timely manner;
- Answering telephones and giving information to callers, taking messages, or transferring calls to appropriate individuals.
- Assist with filing service hardcopies.
- Back up all positions in the office during vacation periods, illness or when the office is in busy seasons. (Including but not limited to floorplan, bank reconciliation, prepare deposits, spreadsheets for drivers, posting secretary of state sheets, car deals/contracts, credit cards)
- Assist all co-workers, Managers, Sales Persons, Service Advisors, Vendors, Factories and all customers with the information they need promptly and accurately.
Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Position Type/Expected Hours of Work: This is a full-time, hourly position, which requires employee to use companies punch clock. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:30 p.m. Occasionally will be required to work later if vehicles need to be reported or license plates need to be issured.
