Service Advisor - Diesel Semi-Trucks

Empire National Inc. is looking for an experienced and customer-focused Service Advisor to join our team and support our diesel truck service operations.

If you have experience working with diesel trucks, semi-trucks, heavy-duty vehicles, or commercial fleet service and enjoy working directly with customers while coordinating repairs with technicians, we’d like to hear from you.

As a Service Advisor, you will serve as the key connection between our customers and service department. You’ll listen to customer concerns, help identify service needs, prepare repair orders and estimates, communicate repair updates, and make sure customers understand the work being performed.

What You'll Do

• Greet customers in a professional, friendly, and timely manner.
• Listen to customer concerns and gather detailed information about vehicle issues.
• Obtain customer and vehicle information and review service history.
• Help identify potential mechanical problems through customer questioning, visual inspection, and road testing when appropriate.
• Recommend necessary maintenance and repairs based on vehicle condition and service history.
• Prepare accurate repair orders, including labor, parts, time, and cost estimates.
• Clearly explain recommended repairs, costs, and expected completion times to customers.
• Obtain customer authorization before performing additional repairs outside the original work order.
• Communicate with customers throughout the repair process regarding changes to estimates, parts, repairs, or completion times.
• Coordinate with technicians and the service dispatcher to keep repairs moving efficiently.
• Monitor repair progress and keep customers informed.
• Schedule service appointments and handle telephone inquiries regarding appointments and repairs.
• Explain completed repairs and charges to customers when the vehicle is ready.
• Handle customer questions and complaints professionally and work toward a positive resolution.
• Review completed repair orders to ensure all work and authorized additional repairs are properly documented.
• Obtain customer signatures and process payment information as required.
• Inspect vehicles for additional service or bodywork needs and communicate recommendations to customers.
• Maintain accurate service records, forms, pricing guides, and service menus.
• Help maintain a quality-control process designed to reduce repeat repairs and comebacks.
• Maintain high customer satisfaction and professional service standards.
• Ensure customer vehicles are parked in designated areas, secured, and that keys are properly identified and stored.
• Maintain a clean, organized, and professional work area.
• Participate in service marketing and customer-retention efforts.
• Perform other duties as assigned.

What We're Looking For

• Previous experience as a Service Advisor, Service Writer, Fleet Service Advisor, or similar position.
• Experience with diesel semi-trucks, commercial trucks, heavy-duty vehicles, or fleet maintenance is strongly preferred.
• Strong understanding of vehicle maintenance and repair processes.
• Ability to communicate mechanical issues clearly to customers who may not have technical knowledge.
• Strong customer service and relationship-building skills.
• Ability to prepare accurate estimates and repair orders.
• Strong organizational and time-management skills.
• Ability to manage multiple repair orders and customer requests throughout the day.
• Comfortable communicating with customers by phone and in person.
• Professional, dependable, and detail-oriented.
• Ability to work effectively with technicians, dispatchers, and other members of the service team.
• Ability to maintain a professional appearance and positive attitude in a busy service environment.
