The Role
We are looking for a highly organized, detail oriented, and proactive Operations Coordinator to help connect the different departments involved in our daily operations.
This is not a traditional administrative position. You will spend your day working across Sales, Shipping, Accounting, Production, and Operations to make sure information is accurate, discrepancies are identified and resolved, and issues do not simply get passed from one department to another.
The right person will naturally ask questions when something does not look right, follow issues through resolution, and look beyond the immediate problem to understand why it happened.
You will help us identify recurring issues, investigate root causes, improve documentation, and support Corrective and Preventive Action when appropriate.
Success in this role requires someone who is comfortable managing multiple priorities, communicating with different departments, paying close attention to details, and taking ownership of follow through.
What You Will Do
As our Operations Coordinator, you will:
- Serve as a central point of coordination between Sales, Shipping, Accounting, Production, Operations, and other departments.
- Help ensure accurate and effective information flow throughout the organization.
- Review orders, shipping documentation, inventory information, credits, and related operational records for accuracy and consistency.
- Identify and investigate discrepancies and coordinate with the appropriate departments to resolve them.
- Escalate significant or recurring issues when appropriate.
- Apply critical thinking and Root Cause Analysis to understand why problems occur rather than simply correcting the immediate issue.
- Support Corrective and Preventive Action when appropriate.
- Maintain appropriate documentation and traceability.
- Identify recurring trends, process gaps, and opportunities for improvement.
- Communicate findings and recommendations to management.
- Follow issues through resolution and help ensure agreed upon actions are completed.
- Support continuous improvement initiatives across the organization.

Preferred Experience

- Experience working with orders, shipping, inventory, or operational documentation.
- Experience investigating discrepancies or coordinating issues across departments.
- Experience with Root Cause Analysis, Corrective and Preventive Action, or other structured problem solving methods is a plus.
- Spanish speaking ability is a plus.

This is a full time, fully on site position in Riverhead, New York.
Pay: $28.00 - $30.00 per hour
