Position Overview
We are seeking a Referrals Specialist to join our ENT department. This position provides essential administrative and phone support to ensure seamless coordination of patient referrals, insurance verification, and appointment scheduling. The ideal candidate will be detail-oriented, professional, and able to manage multiple priorities while maintaining excellent communication with patients, providers, and staff.
Key Responsibilities
Incoming Referrals: Receive referrals, create patient charts, verify demographics, and schedule appointments.
Insurance Verification: Confirm insurance eligibility and benefits, determine referral requirements, and enter billing alerts with relevant details.
Phones: Answer incoming calls, check and return voicemails promptly, and take accurate patient messages.
Faxes: Review incoming faxes daily and forward to the appropriate chart or team member for review.
Chart Preparation: Prepare charts for assigned providers at least one week in advance. Check for add-ons daily, update billing alerts, reschedule as necessary, notify back office, verify insurance, and update demographics.
Ensure all patient records are accurate, complete, compliant, and current.
Perform additional administrative tasks as assigned by management.
Knowledge, Skills, and Abilities
Working knowledge of medical insurance processes and medical terminology
Strong communication skills with the ability to interact effectively with physicians, staff, and patients
Ability to write and respond to professional business and patient correspondence
Excellent customer service and problem-solving skills
Ability to follow direction, work independently, and handle multiple tasks simultaneously
Proficient computer skills, including experience with Microsoft Office, EHR systems, and email/web-based programs
