The Associate (Assistant Project Manager) or Senior Associate (Project Manager) is a role supporting Client Representation as an Owner’s Representative/Project Manager as well as the firm’s growing portfolio of buildings managed, developed, and acquired by leading the construction activities for tenant buildouts and capital improvement projects. This is a role requiring some knowledge of construction and design of real estate facilities. Specific experience with medical office and outpatient/ambulatory uses is preferred but not required. We are searching for candidates who can work across multiple departments, while managing various project management tasks and assignments throughout the organization. Primary Responsibilities:
Flagship and Third-Party Owned Facilities - Project & Construction Management (Owner’s Representative)
▪ Serve as the Lead Project Manager for all aspects of ongoing Project Delivery phases (project concept through construction closeout) on behalf of Flagship or the Client for design and construction projects.
▪ Solicit, qualify and award project teams, including Architects, Engineers, and General Contractors.
▪ Manage pre-construction activities and coordination with selected contractor and design team members.
▪ Assist department leaders as needed with lease negotiation and development as it relates to construction activities.
▪ Define, update and track project scope, budget and schedule for Flagship’s or Client’s development initiatives from project concept through completion and closeout.
▪ Approve and process all construction and design related proposals, contracts, change requests and invoices.
▪ Update project schedules and budgets as needed.
▪ Contribute responses to Request for Proposals received from client prospects, including response preparation and participation in interviews.
▪ Expertly manage workflow and communication between owner, tenant, contractor, design team and other project stakeholders through the life of the project.
▪ Understand and enhance the Flagship brand through the facilities that we deliver and the processes for communications we have with our clients throughout the project delivery lifecycle.
Landlord and Tenant Improvement Projects
▪ Advocate for tenant/landlord (depending on the engagement) during programming/space design.
▪ Review architectural and engineering drawings, suggest changes if beneficial to tenant/landlord, looking for opportunities to add value and create efficiencies and cost savings.
▪ Specify and verify material specifications if no designer of record is involved.
▪ Solicit multiple bids from General Contractors to perform tenant improvement, including tenant’s preferred contractor if requested.
▪ Compare bids, identify project cost savings, and provide feedback to General Contractors
▪ Review bids with tenant for tenant’s selection and approval. Review and negotiate contract language.
▪ Oversee work, resolve issues with general contractors, and approve pay applications in coordination with the designer of record.
▪ Serve as the Landlord primary point of contact for General Contractors, Property Managers and Tenants during Tenant Improvement construction activities.
REIT Portfolio Capital Projects
▪ Provide consultation, make specifications, and solicit multiple bids for capital improvements, review contract language, and approve contracts.
▪ Oversee work to completion and resolve issues that arise.
▪ Provide assistance to department leaders for long-term capital cost forecasting for Asset Management.
▪ Provide Landlord Representative Oversight of Tenant-initiated construction projects.
Additional Roles and Responsibilities
▪ Assist Property & Facilities Management teams with inspection of properties for long term capital planning.
▪ Perform any other task requested in support of Flagship’s mission.
Qualifications:
▪ Proven record of providing exceptional internal and external customer service.
▪ Ability to demonstrate initiative and reflect a sense of urgency by meeting or exceeding deadlines.
▪ The ability to think and work both independently and in a team environment.
▪ Organized and capable of managing multiple time sensitive tasks across various projects
▪ Excellent written and verbal communication skills, problem-solving abilities, organizational and analytical skills.
▪ Must be able to clearly and concisely communicate objectives, an action plan to achieve said objectives and the responsibilities of each team member to get there.
▪ Identify potential conflicts or issues before they have a detrimental impact on a project’s budget or schedule.
▪ Must show experience and demonstrate examples of thinking creatively and leveraging resources to solve problems as they arise.
▪ Demonstrate a general understanding of design and construction through experience within construction related fields (design professional, engineer, contractor, etc.)
▪ Proficiency with software including Word, PowerPoint, Excel and project management specific scheduling software such as MS Project is preferred.
▪ Experience with reviewing, approving and processing design and construction related invoices is preferred.
▪ Design or construction experience within the outpatient/ambulatory medical specialty is preferred.
▪ Bachelor’s degree
▪ Associate/Assistant Project Manager – related work experience of one or more years within the construction industry is preferred.
▪ Sr. Associate/Project Manager – related work experience of minimum of three years within the construction industry.
