A confidential law office specializing in probate, estate administration, and trust planning is seeking a Paralegal with hands-on experience in wills, trusts, and probate matters. This role supports the full lifecycle of estate cases, from client intake through court filings and final distribution, in a collaborative, small office environment.
1. Job Summary
Provide full-time paralegal support focused on probate administration, trust management, and estate planning matters. Responsibilities include drafting probate and trust documents, managing court filings, tracking statutory deadlines, and maintaining accurate case files. This role requires strong attention to detail, especially when handling decedent information, beneficiary data, and court-required documentation.
2. Essential Duties & Responsibilities
Probate & Estate Administration
- Prepare and file probate petitions, notices, inventories, and accountings
- Assist with estate administration from initial filing through final distribution
- Track probate timelines, court dates, and statutory deadlines
Trust Administration & Estate Planning Support
- Draft trust-related documents, certifications, amendments, and correspondence
- Assist with trust administration, including asset tracking and beneficiary communication
- Support preparation of wills, powers of attorney, and related estate planning documents
Court Filings & Calendar Management
- Coordinate filings with California courts, including e-filing where applicable
- Maintain legal calendar for hearings, deadlines, and client deliverables
- Ensure compliance with local probate court rules and procedures
Client Communication & Coordination
- Communicate with clients, beneficiaries, and fiduciaries in a professional and empathetic manner
- Gather and organize client documentation for probate and trust matters
- Coordinate with courts, financial institutions, and third parties for case progression
Document & File Management
- Maintain accurate and organized physical and electronic case files
- Review documents for accuracy of names, dates, and legal descriptions
- Track document status and ensure timely completion of filings and correspondence
Administrative Support
- Answer phones, route calls, and manage general office communication
- Perform scanning, copying, mailing, and other administrative tasks as needed
3. Qualifications
Required:
- High school diploma or GED
- 2 years of paralegal experience in probate, wills, and trust administration
- Strong knowledge of probate processes and legal documentation
- Excellent written and verbal communication skills
- High attention to detail, particularly with names, dates, and financial information
- Ability to manage multiple cases and deadlines simultaneously
- Proficiency with Microsoft Office (Word, Outlook), Adobe, and legal software systems
Preferred:
- Familiarity with California probate court procedures and filings
- Experience with legal calendaring systems
- Paralegal certificate or equivalent experience
4. Physical Requirements
- Ability to sit and work at a computer for extended periods
- Ability to lift up to 20 lbs of files and documents as needed
- Frequent handling and organization of legal files and paperwork
Salary : $25 - $31
