Job Summary:
Position: Marketing Project Coordinator
The Marketing Project Coordinator manages marketing projects from start to finish by coordinating
communication between Marketing, internal teams, clients, vendors and media partners. This role
develops and manages timelines, assigns tasks, tracks progress, and maintains organized records to ensure
projects are completed on time and align with brand standards. The coordinator serves as a quality control
checkpoint, reviewing content and designs before release.
In addition, this position supports key marketing functions such as coordinating podcast production,
assisting with email campaigns, managing an integrated content calendar, and helping facilitate press and
media communications. The Marketing Project Coordinator plays a central role in project management,
ie: keeping projects organized, supporting team members, and ensuring marketing efforts effectively
advance the organization’s mission.
Key Responsibilities Include:
Develop and manage project timelines, workflows, and deliverables
Assign and track tasks across multiple marketing initiatives
Review content and creative materials for accuracy and brand alignment
Maintain and update a comprehensive multi-channel content calendar (Social, Email, Web)
Coordinate podcast scheduling, guest communication, and basic post-production workflows
Set up and manage email campaigns through email marketing software, including list segmentation.
Serve as liaison between departments and external media partners
Maintain organized project documentation and track Key Performance Indicators (KPIs) to
evaluate campaign success
Support and motivate marketing team members to ensure project success

Requirements
Required Knowledge, Skills, and Abilities:
Knowledge of:
Basic marketing principles and strategies
Public Relations principles and practices
Basic understanding of data privacy and confidentiality
Skills:
Excellent written and verbal communication skills
Proficient computer and related software skills
Proficient in Google applications
Proficiency in Project Management Software (i.e. HIVE or similar software)
Proficiency in Virtuous email software (or similar)

Required Experience/Education:
Bachelor’s Degree in Marketing, Communications, Business, or a related field.
Two years of related experience, preferably in a Marketing creative department.

Office or other equipment: Normal use and understanding of basic office equipment including the
computer and its related software, copiers and fax machines, camera
Must have a valid driver’s license and an acceptable driving record
