Responsibilities

• Act as the rainmaker’s “force multiplier” so they can focus on selling, not admin.
• Manage the broker’s calendar, communications, and priorities so nothing critical slips between the cracks.
• Handle incoming client inquiries, filter what’s urgent, and triage tasks by priority.
• Keep track of key deals and deadlines: inspections, appraisal, closing, marketing launches, listing appointments, and follow‑up tasks.
• Coordinate between transaction coordinators, assistants, marketing, and vendors so handoffs are smooth and nobody feels left in the dark.
• Create and maintain simple systems (lists, trackers, checklists, templates) so recurring chaos doesn’t repeat itself.
  
  

Qualifications

• You’re comfortable being “in the middle” of a high‑pressure environment and don’t freeze when things get loud.
• You can read a situation quickly and decide what matters most, even with incomplete information.
• You’re naturally organized, but you’re flexible enough to pivot when priorities change every hour.
• You’re proactive: you see what’s coming, not just what’s already on fire.
• You’re emotionally intelligent enough to handle tough conversations with clients and agents without taking it personally.
• You write clearly and professionally in emails and Slack so you can hold the line when the broker is buried in meetings.
• You’re comfortable with technology (Google Workspace, CRM, transaction tools, maybe a little project management) and will learn what you don’t know quickly.
• You’re okay with a degree of ambiguity—you don’t need every single rule written down before you can start.
