The Executive Assistant to the Chief Executive Officer (CEO) of Five Rivers MetroParks (FRMP) provides high-level administrative support, playing a key role in ensuring the efficient and effective operation of the CEO’s office.

  • Providesadministrative supportforthe CEObypreparingcorrespondence, documents, meeting agendas, and reports; answersand screenstelephone calls;schedulesmeetingsand special events;proofreadsemails, documents, and correspondence;collects and coordinates background information and materials for meetings, reports, speeches,and correspondence;conducts research, analyzes findings, prepares reports, recommendations,and presentations fortheCEO’soffice.
  • Managesthe CEO’s calendar,schedulesmeetings, andcoordinatestravel arrangements. 
  • Preparesandreviewsreports, presentations, and correspondence for the CEO. 
  • Actsas the primary point of contact between the CEO and internal/external stakeholders. 
  • Conductsresearch,analyzesdata, andprovidesinsights to support executive decision-making. 
  • Serves as a liaison to the Board of Park Commissioners, preparing board materials and coordinating meetings. Assists the CEO with meeting management and performs other duties tofacilitatethe meeting. Manages andmaintainsthe official Board of ParkCommissionerrecords, including board meeting minutes, resolutions, and the board member handbook.
  • Serves asthe organization’s Public Records Officer, managing and ensuringthe agency’s compliance with State regulations.Conducts annual records commission meetings,maintainsthe agency-wide records center, reviews and updates the agency’s records disposal schedule, arranges destruction of records in compliance with the records disposal schedule, answers public records requests, and trains staff on public records retention and disposal requirements. 
  • Preparesand supports the annualbudget preparation, financial tracking, and expense managementfor the CEO and the CEO’s office budget. 
  • Plansand coordinate executive meetings, including preparing agendas and taking minutes. 
  • Reviews and routes all agency contracts for electronic signatures and filesexecuteddocuments in the records center.
  • Serves asamember of the Executive Leadership Team.
  • Coordinates the implementation of new and revised administrative procedures.
  • Analyzes and preparesfinancial records and paperwork for theCEO’soffice.
  • Works assigned schedule,hasregular and punctual attendance,and works outside of normal schedule asneeded. 
ADDITIONAL RESPONSIBILITIES
  • Provides service to the publicbyresponding to questions,helping, and providing information.
  • Collaboratesacrossfunctional areas, to provide information tosupportthe effective operation of the agency.
  • Serves as avolunteer stafflead.
  • Performs other duties as assigned.

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. A combination ofappropriate education, training, courseworkand experience mayqualifyan applicant todemonstratethe requiredknowledge, skills, and abilities. An example of an acceptable qualification is:
Bachelor’s degree in Business, Public Administration, or related field and seven years of experience in executive administrative and/or management supporting a public agency and supervision of others.

CERTIFICATES, LICENSES, REGISTRATIONS
Valid Drivers' License which meets FRMP insurance carrier guidelines.


Candidates must successfully complete a background check and drug screening test prior to employment.

Salary : $47,549 - $59,426
