Fishtank Learning is a growing education technology non-profit that develops and shares high-quality curriculum materials through a dynamic, easy-to-navigate website. At Fishtank Learning, we believe that teachers and their students deserve access to the highest quality instructional materials. Our in-house curriculum team has spent the last decade drawing on their experience as classroom teachers to develop the Fishtank curriculum. We continually refine and improve our content and tools to reflect the best evidence-based practices and serve the evolving needs of teachers and students.
We offer our core curriculum in a convenient, openly-licensed format so teachers can use, adapt, and download it for free, and we offer a low-cost subscription-based curriculum product called Fishtank Plus. Fishtank Plus includes premium content and features to make implementing the curriculum easier and more effective. Fishtank Plus is sold both to individual teachers as an annual subscription and to schools and districts as a school site license. Schools and districts are also encouraged to engage with implementation support services designed to build leader capacity to implement Fishtank effectively. Fishtank supports its operations through revenues from the sale of these products.
Overview of Role
Fishtank Learning is seeking a full-time Operations Coordinator to support our School Partnerships team in building strong, responsive relationships with K–12 schools and districts adopting Fishtank ELA and Math. This role ensures smooth operations across the full sales cycle — from initial inquiry and demo scheduling to purchase processing and partner onboarding — and helps the team deliver a high-quality, professional experience to every prospective partner.
The School Partnerships Operations Coordinator manages inbound communication, supports demo and purchasing workflows, maintains accurate data and documentation, and contributes to the ongoing improvement of systems and processes.

Job Responsibilities
Prospect & Partner Support
- Serve as the first point of contact for inbound school and district inquiries, ensuring timely, accurate, and professional communication.
- Triage inquiries and route questions to the appropriate team member.
- Respond to basic support cases related to curriculum access, subscription details, or website functionality and escalate technical issues when necessary.
Sales Enablement & Outreach Support
- Coordinate logistics for demo presentations, including scheduling, preparing materials, confirming attendees, and managing follow-up.
- Support the creation and delivery of quotes, purchasing documentation, and follow-up communication throughout the sales process.
- Conduct research on schools and districts to support outreach campaigns, segmentation, and meeting preparation.
- Prepare and customize decks and materials for prospective partner conversations.
- Maintain organized and up-to-date folders of outreach and presentation materials.
- Coordinate logistics and manage materials needed for in-person events
Data, Systems & Reporting
- Enter, update, and maintain accurate records in Salesforce.
- Own key partnerships dashboards, trackers, and reports; ensure they are accurate, current, and regularly reviewed by the Director of School Partnerships.
- Help document, streamline, and improve internal workflows across the Schools Partnerships team.
- Use systems such as Salesforce, Google Workspace, and internal admin tools to support team operations.
Implementation & Partner Engagement
- Support logistics for webinars, professional learning sessions, and partner-facing events (scheduling, invitations, attendance tracking, materials, communications).
- Assist with basic onboarding steps for new school partners as needed.
Finance & Administrative Support
- Process purchase orders, invoices, payments, and subscription-related documentation in coordination with the finance team.
- Track and ensure timely receipt of signed partnership agreements and required documentation.
- Maintain accurate records of all transactional and financial information related to school partnerships.
Education, Experience, and Skills
- Bachelor’s degree or equivalent experience
- 1–3 years of experience in operations, customer support, sales enablement, administrative coordination, or related roles
- Experience working in K–12 education, nonprofits, or EdTech a plus
- Strong written and verbal communication skills, with a professional and service-oriented tone
- High attention to detail, strong organizational skills, and the ability to manage multiple projects and deadlines
- Comfort learning new systems and tools; experience with (or strong appetite to learn) Salesforce
- Proficiency with Google Workspace
- Ability to work independently, problem-solve, and take initiative with minimal supervision
- Interest in improving processes, documenting workflows, and contributing to team efficiency

Salary range: $45,000-$60,000
