What are the responsibilities and job description for the Automotive Title Clerk position at Fisher Auto?
SUMMARY
Primary functions of this position is to process vehicle sales. The job includes verifying costs for the accounting department and handling the legal transfer of documents for the Department of Motor Vehicles.
ESSENTIAL DUTIES include the following. Other duties may be assigned.
To process all new and used vehicle title documents including the preparation of tax documents for registration and submit to the Dept of Motor Vehicle in which the vehicle will be titled. Having a system to verify the paperwork filed is within 30 days.
To submit all paperwork needed to the correct Bank/Lending institution for funding. Follow up with contracts in transit to assure timely funding.
To verify and post all funds collected before processing title application·
To complete billing to record sale of vehicles ensuring that all accounting is accurately posted to the correct accounts.
To print daily IN invoices, misc billing invoices RDR’s and reports.
To print off daily temporary permit logs and pay off floored units to assure a clean floorplan audit.
To prepare payoff checks for trade-ins once deal is funded.
To stock in new and used vehicles including flooring of stock dealer trades.
To prepare MSO’s, titles and checks for dealer trades and wholesale transactions
To maintain records and post purchases of new and used vehicles including flooring of stock vehicles.
To title and register/transfer plates on all new loaner vehicle for the service department.
To post Honda dealer reserve statements at the end each month.
To post service internal RO’s and PDI’s to correct accounts to ensure correct vehicle costs at time of sale.
To maintain filing of Honda related inventory including ROs in appropriate deal jacket.
To post weekly Credit memos/Warranty Credits, Fuel Charges and PDI’s.
To process Honda records for vehicles including but not limited to: daily printing of Honda reports, daily reporting of sales, track inventory to insure all new Honda inventory is properly classified as in transit, on the ground, or sold, and process courtesy delivery paperwork to insure proper payment.
To verify each month that all items on inventory schedule have a jacket and a MSO/title and to report exceptions to the controller.
To clean schedules for vehicle inventory and other sales tax of items that are no longer open.
To comply and maintain a complete list of all outstanding title work. Report list to management including a current list of outstanding titles at the end of each month.
To direct the title runner in daily routines.
To stay abreast of title regulations, by attending seminars held by local licensing bureaus, internet research, and any other training available on title registrations, taxes rules and regulation throughout the State of Colorado.
To maintain knowledge and a system to verify out-of-state titles.
To cross train others to handle title clerk daily responsibilities.
To answer customer questions accurately and courteously when dealing with title related questions.
To maintain a professional appearance and a neat work area.
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
EDUCATION and/or EXPERIENCE
Ability to work with the Reynolds & Reynolds computer system.
10 key and typing by touch are necessary.
LANGUAGE SKILLS
Ability to respond and effectively communicate to common inquiries from customers, members of the business community and management.
Ability to read and comprehend written documents and oral instructions.
MATHEMATICAL SKILLS
Ability to perform basic math skills.
REASONING ABILITY
Ability to understand and carry out detailed but noncomplex written or oral instructions.
Ability to deal with problems involving few concrete variables in standardized situations.
CERTIFICATES, LICENSES, REGISTRATIONS
Valid driver’s license. Notary required.
