What are the responsibilities and job description for the Operations Coordinator- Home Care Agency position at FirstLight Home Care?
Job title: Operations Manager– Home Care Agency: (LVN/RN preferred, CNA considered)
Location: Prosper, TX (On-site)
Type: Full-time
About the Role
FirstLight® Home Care of McKinney is a growing non-medical home care agency specializing in memory care, and we’re looking for an experienced Operations Manager to help build the systems behind exceptional care.
This is not a “manage the task list” role. We need someone who is process-minded, takes initiative, follows through, and enjoys creating structure where it doesn’t fully exist yet. If you’ve worked in home care or senior care operations and love turning chaos into clear workflows, we want to talk to you.
Licensed nurses (LVN or RN) are strongly preferred, and CNAs with strong operations experience are encouraged to apply. This role combines operational leadership with caregiver training and quality oversight.
What You’ll Do
- Develop, document, and maintain SOPs, checklists, and workflows across the agency
- Identify operational gaps and work with leadership to implement practical solutions
- Lead caregiver training, orientation, and skills competency checks
- Support client care quality through assessments, care plan reviews, and supervisory visits, as appropriate to credentials
- Serve as a care quality resource for caregivers, clients, and families
- Coordinate client setup and caregiver onboarding (documentation, background checks, training, credentials, system setup)
- Maintain organized, compliant client and caregiver files, including credential and expiration tracking
- Support scheduling, payroll, and billing, and follow up on discrepancies
- Support documentation for long-term care insurance, VA-authorized care, Medicaid/waiver programs, and private pay
- Use WellSky Personal Care and Viventium to keep client, caregiver, and personnel records accurate
- Communicate professionally with clients, families, caregivers, vendors, and payers
What We’re Looking For
- Active Texas LVN or RN license strongly preferred; current CNA certification considered
- Experience training or supervising caregivers, CNAs, or direct care staff
- Experience in home care, senior care, healthcare operations, care coordination, or staffing (strongly preferred)
- Hands-on experience building SOPs, workflows, or improving operational processes
- WellSky/PersonalCare experience strongly preferred; Viventium or similar payroll/HRIS a plus
- Familiarity with LTC insurance, VA, or Medicaid/waiver documentation is a strong plus
- Highly organized, detail-driven, and able to manage multiple priorities independently
- Strong written and verbal communication skills
- High school diploma required; college degree preferred
- Valid driver’s license and auto insurance
