Office Administrator Requirements:
- High school diploma or a bachelor’s degree in business, administration, or a related field.
- 2 or more years’ office administration experience.
- Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel, Outlook, Quickbooks, Weebly/Square (our website account) and Canva.
- Comfortable handling confidential information.
- Multi-tasking and time-management skills, with the ability to prioritize tasks.
The Office Administrators keep offices running smoothly by fulfilling clerical, administrative and financial responsibilities.
- Overseeing daily office operations to ensure efficiency and organization
- Maintain church calendar to include staff and room reservation/usage
- Answering phone calls and emails and directing inquiries to the appropriate department or employee based on the nature of the request
- Greeting visitors and directing them to offices and meeting rooms
- Ensure financial disbursements are timely, proper and recorded in accounting records segmented by fund type
- Process payroll for all church employees
- Prepare and distribute quarterly and year end contribution statements for church members
- Coordinate altar and holiday flower orders and deliveries
- Prepare weekly Sunday church program and email communication of church happenings
- Manage and maintain church website and social media accounts (Facebook, Instagram, etc)
- Managing internet, phone & copy machine accounts and maintain relationship with IT support company
- Collaborate with staff to design and produce marketing material (posters, flyers, email) for upcoming events
- Creating and updating databases and records for financial information, personnel records, member management records and other data
- Ordering office supplies
- Preparing reports, spreadsheets and presentations
- Assisting with onboarding new employees and coordinating HR-related tasks
- Recruit and train volunteer office assistance as needed
Pay: $20.00 - $23.00 per hour
