Position Summary
The Payroll Specialist is responsible for supporting accurate and timely payroll processing across multiple companies and states within a fast-growing organization. This role ensures payroll compliance with federal, state, and local regulations while maintaining high standards of data accuracy, confidentiality, and customer service.
This is a non-exempt position eligible for overtime and requires strong attention to detail, organization, and the ability to manage multiple payroll cycles simultaneously.
Essential Duties and Responsibilities
- Process payroll for multiple entities across various states on weekly and bi-weekly payroll schedules.
- Review and audit employee timesheets for accuracy, completeness, overtime compliance, and proper approvals.
- Maintain employee payroll records including new hires, terminations, rate changes, and deductions.
- Ensure compliance with federal, state, and local payroll tax regulations and wage & hour laws.
- Assist with multi-state tax setup, withholding updates, and jurisdictional payroll requirements.
- Calculate and validate:
- Overtime and premium pay
- Garnishments and levies
- Benefit deductions
- 401(k) and retirement contributions
- Imputed income and taxable benefits
- Support payroll transitions related to acquisitions and onboarding of new companies.
- Research and resolve payroll discrepancies and employee inquiries in a timely manner.
- Reconcile payroll reports and assist with payroll audits.
- Partner with HR, Benefits, and Finance teams to ensure accurate employee data flow.
- Maintain payroll documentation and follow established SOPs and internal controls.
- Assist with year-end activities including W-2 preparation, audits, and reporting.
Required Qualifications
- 2 years of payroll processing experience (multi-state preferred).
- Working knowledge of payroll laws including FLSA wage and hour requirements.
- Experience processing payroll for multiple companies or EINs preferred.
- Strong proficiency in Microsoft Excel (sorting, filtering, basic formulas).
- Experience with payroll systems such as ADP Workforce Now, Paycom, or similar platforms.
- Strong organizational skills with the ability to meet strict deadlines.
- High level of accuracy and attention to detail.
- Ability to maintain confidentiality of sensitive payroll information.
Preferred Qualifications
- Experience supporting payroll during company acquisitions or system transitions.
- Knowledge of multi-state taxation and local payroll requirements.
- CPP or FPC certification (or willingness to pursue).
