The Role
The Financial Services Representative (FSR) is a key member of our patient support team, responsible for managing insurance benefits, pre-authorizations, and financial clearances for patients undergoing fertility treatments. Working closely with clinical staff, insurance providers, and our Central Billing Office, you'll ensure patients have a clear understanding of their financial options so they can focus on what matters most. We welcome both full-time and part-time candidates who bring dedication, attention to detail, and a genuine commitment to patient care.
What You'll Do
- Manage pre-certifications for fertility treatments and procedures, including IUI, IVF, TESE, MESA, FET, embryo biopsy, donor embryo cases, and gestational carriers.
- Verify insurance benefits and communicate coverage details and self-pay options clearly to patients.
- Obtain authorizations for diagnostic tests such as HSG, sonohysterograms, semen analysis, MRIs, ultrasounds, and endometrial biopsies.
- Provide financial counseling to patients, including discussion of treatment costs, co-pays, and payment plan options.
- Communicate financial clearance status to clinical staff via Athena and ReSource systems.
- Monitor patient accounts for billing accuracy and follow up on outstanding balances in a timely manner.
- Schedule and pre-certify surgical procedures, coordinating all pre- and post-operative visits with surgical centers and insurers.
- Partner with the Central Billing Office to resolve authorization issues and process refunds.
- Maintain accurate patient consents and financial documentation in compliance with HIPAA standards.
- Support onboarding and training of new FSR team members as needed.
What We're Looking For
- 1–2 years of experience in healthcare insurance, medical billing, or financial services within a provider setting.
- Strong understanding of medical insurance processes, pre-authorization workflows, and patient financial counseling.
- Proficiency in CPT and ICD-10 coding.
- Experience with electronic medical records (EMR) and medical billing software.
- Excellent communication and customer service skills, with the ability to explain financial obligations clearly and compassionately.
- Strong organizational skills and meticulous attention to detail.
Schedule
This position is available as full-time or part-time. Standard hours follow a Monday–Friday day shift schedule with some weekend rotation and holidays. The role is based on-site in Pensacola, FL.
