Responsibilities:
- Supervise support personnel (paid and volunteers).
- Oversee office machine maintenance (printers / computers).
- Facilitates internal communication among boards, staff, and congregation as well as external communication with community at large.
- Manages inventories/purchases general church items.
- Oversees/signs all accounts payable items (with proper authorization from boards / church leadership). See that checks are signed and mailed out in a timely matter.
- Coordinates with maintenance, housekeeper and bookkeeper.
- Schedules facility use and coordinates with maintenance and Minister.
- Schedule funerals and weddings; works with Minister, funeral directors and wedding coordinator as needed.
- Maintain church calendar – nothing will happen within the church unless cleared on the calendar first (oversight by Minister and Church Council).
- Oversee groups using the church building during the day and at night. All groups must fill out Building Use Agreement.
- Prepare Sunday collection for the bookkeeper.
- Produce Sunday bulletin and monthly newsletter.
- Prepare Annual Report for congregational review.
- Handle all walk-in traffic during Office Hours.
- Performs admin tasks that may from time to time be assigned.
Expectations:
The title of this job may be somewhat misleading in the sense that this position does not have groups of personnel/functions to manage, but does control and manage many of the operational matters of the church. A day in this position is one that cannot be planned with precision or organized with much expectation of accomplishment due to the myriad of situations that can and do occur to interrupt any schedule. All calls and emails must be dealt with promptly and compassionately to maintain the caring fabric of this congregation within itself and the community. Above all, the preferred candidate will have a will and desire to enable members to fulfill the purpose of First Congregational Church in their lives.
- Office Hours: Monday – Thursday, 9 a.m. – 3 p.m.
- Total Expected Hours of Commitment (24 hours/week)
Accountability:
- Background check completed and approved before employment begins.
- Applies policies and procedures as written in Personnel Manual.
- Accountable to and supported by the Minister and Church Council.
- Office Manager reports to the Minister (with evaluation and direction from Personnel Committee and Church Council).
- Job performance review is conducted after 90 days and again annually.
Compensation:
- $20/hour ($25,000/year), though negotiable with previous experience / qualifications
