General Position Expectation: Provide administrative services to the Pastor, and church for the programs and ministries of the church.
Supervision: The church Office Administrator reports to the Pastor
Core responsibilities
- Office and administrative support: Perform a variety of clerical tasks, such as managing correspondence, ordering supplies, maintaining office equipment, and overseeing the overall organization of the church office.
- Communication management: Act as the primary point of contact for the church by answering phones, obtaining church mail,responding to emails, greeting visitors in a friendly, professional manner and inter and intra communication channels.
- Calendar and scheduling: Maintain and update the church's master calendar, coordinate meeting and event schedules, and book facility usage for internal ministries and external groups.
- Database and record keeping: Keep accurate and confidential church records, including membership directories, attendance logs, and records of baptisms, weddings, and funerals.
- Financial support: Work alongside the treasurer to assist with basic bookkeeping, such as recording donations, paying invoices, and managing a petty cash fund.
- Worship and event preparation: Prepare and distribute weekly bulletins by Wednesday, weekly newsletters, and other materials for worship services and church events. Maintain Bulletin Board and Church Calendar updates.
- Website and social media updates: Manage and update the church's website and social media channels to ensure information is current and accurate.
- Special Needs Fund works with public requests with the pastor and treasurer for vouchers, food assistance and monetary assistance.
Key qualifications and skills
- Computer proficiency: Demonstrate strong skills in Microsoft Office (Word, Excel) , Publisher, Dropbox,Google Workspace, sign up genius, powerpoint Experience with church management software is often preferred.
- Interpersonal skills: Possess a warm, welcoming, and professional demeanor to effectively interact with congregants, visitors, and vendors.
- Organizational skills: Exhibit strong organizational and time management abilities to prioritize and manage multiple tasks in a fast-paced environment.
- Confidentiality: Handle sensitive and confidential information with discretion and integrity.
- Volunteer Help: Willingness to request and receive volunteer help when needed.
- Other Duties: Willingness to person other duties as assigned by Pastor/ Council.
Job Type: Part-time
Pay: $22.95 - $23.00 per hour
Expected hours: 15 – 20 per week
