Receptionist – Behavioral Health Practice
We are a fast-paced, patient-centered Behavioral Health private practice seeking a professional, dependable, and detail-oriented Receptionist to support daily front-office operations and clinical workflow. This position serves as the first point of contact for patients, families, providers, and community partners, playing a critical role in delivering a welcoming, organized, and compassionate experience while ensuring compliance with healthcare regulations.
Role Overview
The Receptionist provides administrative, operational, and care coordination support primarily to the Site Director, supervisors, and clinical providers. This role requires strong communication skills, independent judgment, and the ability to manage multiple responsibilities in a busy clinical environment while maintaining strict confidentiality.
Key Duties & ResponsibilitiesFront Office & Patient Engagement
- Greet patients in person and by phone in a warm, professional, and empathetic manner
- Manage patient check-in and check-out processes, verifying demographic and insurance information
- Schedule, confirm, and reschedule appointments using SimplePractice, including onboarding new patients and creating profiles
- Monitor Zocdoc, Psychology, and CareSalace platforms for new patient appointments, confirm visit type (in-person vs. telehealth), and distribute intake paperwork
- Communicate with billing regarding insurance verification for new and existing patients
Administrative & Clinical Support
- Provide administrative and operational support to the Site Director and supervisors
- Assist providers with drafting letters, routing correspondence, processing records requests, and handling test and lab results
- Contact patients and laboratory facilities regarding lab orders and follow-up
- Accurately collect copays and outstanding balances and document all payments in the EHR
- Maintain organized records, files, and documentation in compliance with practice standards
Documentation, Compliance & Confidentiality
- Document all patient communications related to appointments, refills, billing, and prescriptions in the medical record
- Check and upload MassPAT reports into patient charts as required
- Maintain strict adherence to HIPAA and confidentiality requirements at all times
Care Coordination & Case Support
- Perform incidental case management tasks, including tracking referrals, follow-up appointments, and care coordination needs
- Work autonomously to compile reports and data (e.g., follow-ups, referrals, utilization metrics) for leadership review
- Participate actively in supervisor meetings and collaborate on utilization management and workflow improvement
- Serve as the site liaison with referral sources, community providers, and partner facilities
Office Operations
- Purchase office supplies as needed and maintain organized inventory for the site
- Assist with special projects and administrative initiatives as assigned
Required Qualifications
- High school diploma or equivalent
- Intermediate proficiency with Microsoft Office Suite
- Strong verbal and written communication skills with proper grammar and professionalism
- Excellent organizational skills with the ability to prioritize, multitask, and follow established procedures
- Experience preparing documents, reports, and maintaining accurate records
- Ability to work independently and collaboratively as part of a multidisciplinary team
- Experience serving individuals from diverse cultural and socioeconomic backgrounds
Preferred Qualifications
- Prior experience in a healthcare, medical office, or behavioral health setting
- Familiarity with SimplePractice or similar EHR systems
- Bilingual in English and Spanish strongly preferred
Compensation & Schedule
- Pay: $20–$22 per hour (based on experience)
- Schedule: Monday–Friday, 8:00 a.m.–4:30 p.m. (30-minute lunch)
- No weekends or select holidays
