Role Summary
The Finance Assistant supports the mission of First Christian Church (FCC) and First Christian Day Services (FCDS) by helping manage key financial tasks such as payroll, billing, and accounts. This role ensures accurate record-keeping, timely processes, and strong financial stewardship for the Day Services program. A servant-minded attitude, integrity, and attention to detail are essential. All duties include training, and prior financial experience or is helpful but not required.

Key Responsibilities
Payroll
- Prepare and process weekly payroll.
- Pull department information from Connecteam and enter into QuickBooks (QB).
- Send payroll information to the bank.
- Maintain accurate records of timesheets, leave balances, and staff adjustments.
- Process new employee information into QuickBooks.
Medicaid Billing
- Prepare and submit Medicaid billing for Day Services.
- Track and reconcile Medicaid payments, denials, and re-submissions.
- Maintain required documentation per Medicaid and state regulations.
Sunday Offering Processing
- Process weekly Sunday offering.
- Post contributions to church member accounts.
- Balance offering with envelopes and reconcile totals.
- Prepare and make bank deposits.
- Enter deposits into QuickBooks.
- Enter Stripe payments into QB.
- Provide weekly offering reports to Ministry Staff.
Accounts, Cash Management & Bookkeeping
- Manage cash-on-hand accounts (withdrawals, deposits, balances).
- Process and record program deposits, invoices, and receipts.
- Track credit card purchases and reconcile monthly statements.
- Enter all Day Services expenditures into QuickBooks.
- Complete weekly deposits and ensure timely recording in QB.
- File invoices and statements processed by Finance staff.
- End-of-month bank reconciliation for debit account and main checking.
- Complete monthly postage report for each department and enter into QB.
- Pull quarterly printer usage reports and enter costs into QB.
Budget, Reporting & Compliance
- Assist with monthly budget reconciliation.
- Prepare documentation for audits and compliance reviews.
- Maintain accurate, organized paper and electronic financial records.
Communication & Administrative Support
- Communicate with program staff, County Board staff, DODD staff, and outside agencies regarding financial matters.
- Assist with special projects as assigned by the Director.
- Cross-train to support finance needs across other FCC ministries.
- Maintain strict confidentiality and attention to detail in all financial processes.
Schedule and Expectations
- 40 hours per week, Monday through Friday.
- Ensure accuracy, timeliness, and confidentiality in all financial transactions.
- Uphold compliance with FCC policies, Medicaid requirements, and all state and federal regulations.
- Demonstrate strong organizational skills, attention to detail, and personal accountability.
- Collaborate with program staff and leadership to support smooth financial operations.
- Maintain professional, respectful communication with staff, vendors, families, and individuals served by the program.
Qualifications
Education/Experience
- Associate’s degree in Accounting, Finance, or related field.
- 2 years of relevant accounting, billing, or payroll experience required (nonprofit or human services experience a plus).
- Preferred experience with QuickBooks Desktop.
Skills
- Proficiency with Microsoft Office Suite (Excel required).
- Strong analytical and problem-solving skills.
- Ability to prioritize and manage multiple deadlines effectively.
- High level of accuracy, integrity, and confidentiality.
- Self-starter that excels working independently
- Knowledge of Medicaid billing or willingness to learn.
- Familiarity with nonprofit financial management is preferred.
