What are the responsibilities and job description for the Administrative Assistant position at First Christian Church (Disciples of Christ)?
Primary Purpose
The Administrative Assistant is at the core of our church’s communication hub. Many times, the first contact made with First Christian Church will be through our Administrative Assistant. Therefore, this position requires a person who is comfortable with people and at ease in a busy office environment. We expect the Administrative Assistant to assume the role of ministry within our congregation by expressing care and concern for all who enter or contact the office and enabling members to find opportunities for expressing their ministries.
This is a part-time job description which is not to exceed more than 30 hours per week.

· Must show a willing attitude of Christian service to their position and its responsibility.
· Must possess good telephone and communication skills.
· Must have general knowledge of all office equipment and supplies and a willingness to further their training.
· Must be proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and capable of working with graphics.
· Perform general office work, under the supervision of the Senior Pastor and in cooperation with the staff.
· Perform and maintain basic file management procedures and exhibit good organizational skills.
· Accuracy and attention to detail is necessary.
Overview of Desired Skills
· Proficiency in social media across multiple platforms, collaborating closely with pastors and committees to create and maintain content.
Duties and Responsibilities
A. Daily
· Answer the phone, make outgoing calls, screen calls per staff direction, and greet guests.
· Inform Senior Minister of members' needs, such as deaths, illness, and crises.
· Maintain the church calendar in consultation with staff and administration. It is the responsibility of everyone to provide dates for the calendar.
· Relay communications (mail, calls, and emails) to appropriate channels.
· Prepare routine letters and photocopy / scan documents as requested.
· Perform other duties as assigned by the Senior Pastor.
B. Weekly
· Prepare, publish, and print the Sunday Bulletin.
· Utilize CDM (Church Management Software) and other record-keeping systems to maintain church files, track attendance, visitors, and membership, and compile reports as requested.
· Prepare and email weekly newsletter including reminders of upcoming events, scheduled committee meetings, etc.
· Collaborate with the Financial Secretary to maintain church and office supplies that can be purchased online.
· Maintain and update church website.
C. Monthly
· Prepare and publish “The Cup” newsletter and FCC Church Calendar.
· Prepare and maintain mailing lists, church roster, and master copy of church keys list / security codes.
· Prepare and maintain church welcoming material and events postings located under picnic shelter.
D. Triannual (every 4 months)
· File electronic and hard copies of the Church Board meeting agenda, attendance, minutes (including Financial Secretary, Treasurers, Senior Pastor, Associate Minister, Youth Program), and all committee reports.
· Communicate the next quarterly Church Board meeting one month in advance in “The Cup” newsletter, weekly Sunday Bulletin, and Weekly Update newsletter.
· Prepare copies of the previous quarter’s Church Board meeting minutes one week before the next meeting.
E. Annually
· In January, review electronic and hard copy files identified in FCC Record Retention Policy and follow retention period instructions.
· April 1st each year forward the Board Chair a list of current members to share with the Nominating Committee.
· April 1st each year forward the Board Chair the list of nominee recommendations received from the members of the congregation.
· In June, share the schedules (prepared by the various entities) for the new church year including Elders, Shepherding Groups, Diaconate, Greeters, Communion Prep, Wednesday Dinner Servers, etc.
F. Other Duties as Needed
· Manage new requests for building / property use following Building Use Policy including coordinating with existing approved schedule / calendar, Senior Pastor, and Administration Chair on an as-needed basis.
· Attend staff meetings when scheduled by the Senior Pastor.
Qualifications / Experience
· At least a high school diploma and some college preferred.
