Essential Duties and Responsibilities:
· Cordially greets arriving visitors, employees and applicants.
· Answers incoming telephone calls, determines purpose of callers, and forwards calls to
appropriate staff member; manages multiple phone lines effectively; prioritizes phone calls; takes
and delivers messages or transfers calls to voice mail when appropriate personnel are
unavailable.
· Accurately files paper/electronic medical and employment records; scans and names documents.
· Prepares fax cover sheets; sends and receives faxes; scans and emails documents.
· Prepares, completes, saves and/or distributes a number of daily or weekly reports.
· Completes regular audits to ensure that medical records are complete and accurate; corrects
and/or reports exceptions to insure compliance.
· Assists in the hiring of new staff by advising candidates of openings, providing applications,
providing recommendation to the hiring manager.
· Performs all required reference checks and background checks for applicants under consideration
for employment.
· Completes new employee on-boarding tasks, such as but not limited to, reviewing orientation
folder with new employees, processing paperwork and assembling files.
· Maintains office supplies list, handouts, and medical-record supplies; orders replacement supplies
or informs Clinical Services Manager (CSM) or Branch Manager of supply needs.
· Receives deliveries; check contents of deliveries against invoices and immediately note package
shortages or damaged shipments as necessary.
· Generates monthly employee in-service and expired certificate reminders as necessary.
· Prepares and sends email reminders and notices.

-Education and/or Experience: High school diploma or general education degree (GED); or one to
three months related experience and/or training; or equivalent combination of education and
experience.
-Language Skills: Ability to read and comprehend simple instructions, short correspondence, and
memos. Ability to write simple correspondence. Ability to effectively present information in one-on one and small group situations to customers, clients, and other employees of the organization.
-Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole
numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw
and interpret bar graphs.
-Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished
in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in
standardized situations.
-Computer Skills: To perform this job successfully, an individual should have knowledge of Contact
-Management systems; Database software; Internet software; --Spreadsheet software and Word
