Part-Time Administrative Coordinator

First Choice Home Health & Hospice

Pay: $20–$25 per hour, depending on experience
Schedule: Approximately 20 hours per week
Employment Type: Part-time
Schedule: Flexible within normal business hours; schedule can be arranged with the selected candidate

About the Position

First Choice Home Health & Hospice is looking for an organized, dependable, and detail-oriented Administrative Coordinator to provide administrative support to our leadership team and help ensure important administrative processes are being completed consistently across our organization.

This is a great opportunity for someone who enjoys keeping things organized, following up on details, working with reports and checklists, and helping others stay on track.

You do not need extensive HR or healthcare experience. Many of the specific processes can be taught. We are more interested in finding someone who is highly organized, reliable, comfortable learning new systems, and able to follow through without needing constant supervision.

This position combines leadership administrative support with oversight and auditing of routine branch administrative processes.

What You'll Do

Leadership & Administrative Support

  • Help our leadership team stay organized and keep track of priorities, deadlines, and follow-up items
  • Coordinate calendars and assist with scheduling
  • Prepare meeting agendas and gather information needed for meetings
  • Track action items and follow up with team members as needed
  • Prepare routine documents, spreadsheets, reports, and correspondence
  • Assist with special projects and other administrative assignments
  • Help answer incoming office phone calls and route calls appropriately
  • Perform general office and administrative support as needed

Branch Administrative Oversight

Our branch teams are responsible for completing their day-to-day recruiting, onboarding, personnel, credentialing, and payroll processes. This position helps make sure those processes are happening consistently and correctly.

Responsibilities will include:

  • Run routine reports to monitor completion of administrative processes
  • Perform periodic personnel-file and documentation audits
  • Review records for missing or incomplete information
  • Track outstanding documentation and follow up with branch staff
  • Monitor completion of onboarding and new-hire requirements
  • Help verify credential and employee documentation is current
  • Monitor recruiting and hiring activity through reports and tracking tools
  • Assist with reviewing branch payroll preparation for completeness
  • Maintain audit checklists and tracking reports
  • Identify administrative issues or trends and bring them to leadership's attention
  • Help standardize administrative processes across locations

The goal of this position is not to perform all of the branch-level work, but to help ensure it is being completed accurately and on time.

Who We're Looking For

The ideal candidate is someone who:

  • Is exceptionally organized and detail-oriented
  • Is dependable and follows through on commitments
  • Can manage multiple tasks and deadlines at the same time
  • Notices when information is missing or something doesn't look right
  • Is comfortable following up with others to obtain needed information
  • Communicates professionally and respectfully
  • Can handle confidential employee and company information appropriately
  • Is comfortable working independently once trained
  • Learns new software and processes quickly
  • Has good written and verbal communication skills
  • Is comfortable working with spreadsheets, reports, email, and common office software
  • Enjoys creating order, maintaining systems, and keeping things on track
  • Works well as part of a team

Qualifications

  • Previous administrative, office, coordinator, executive support, HR support, medical office, or similar experience preferred
  • Strong computer and organizational skills
  • Experience with Microsoft Excel or Google Sheets preferred
  • Experience working with confidential records is helpful
  • HR, payroll, recruiting, or healthcare experience is helpful but not required

We are willing to train the right person on our specific HR, payroll, recruiting, and healthcare processes.

Schedule

This is a part-time position of approximately 20 hours per week.

We offer flexibility in scheduling within normal business hours, and the specific schedule can be arranged with the selected candidate.

This position may be particularly well suited for an experienced administrative professional who is looking for a meaningful professional role without a full-time schedule.

Compensation

$20–$25 per hour, depending on experience and qualifications.
