ADMINISTRATIVE ASSISTANT
Reports To: Pastor
Position Type: Part-time (24 hours weekly)
Salary: $18k
OBJECTIVE
Responsible for providing secretarial, administrative, and organizational assistance to the ministerial staff and the congregation to fulfill the church's mission.
KEY RESPONSIBILITIES
1. OFFICE ADMINISTRATION & COMMUNICATION
- Answer phone calls for the church and FBC Preschool, retrieve and respond to voicemails
- and emails promptly, and direct inquiries appropriately.
- Open, review, and distribute mail; respond to routine inquiries.
- Recruit and schedule volunteers during Administrative Assistant's absences.
- Maintain confidentiality in all matters related to the church office, staff, and congregation.
- Participate in weekly staff meetings as requested.
- Any other duties as assigned by the Pastor or Associate Pastor.
2. CHURCH RECORDS, MEMBERSHIP & CARE
- Ensure the church database (Planning Center) is accurate and up to date.
- Maintain the church membership roll and related records.
- Submit and organize background checks on membership to comply with FBC Chickamauga's Safety Policies.
- Notify elders and deacons of individuals or families who may be sick or in need of special attention.
- Ensure first-time visitors and new members receive a letter and/or packet, as appropriate.
- Keep elders informed of membership communications and needs.
3. PUBLICATIONS & DIGITAL COMMUNICATION
- Manage day-to-day content of the church website, digital sign, and social media.
- Manage and route all email for the main church email account.
- Communicate via email and/or text to church members as directed by ministry staff and designated leaders.
- Ensure the weekly worship guide, prayer guide, monthly newsletter, and other print materials are designed,
- approved, printed, and distributed.
- Oversee and/or prepare special brochures, booklets, and other presentations as needed.
- Use created templates and checklists to assist in the coordination of church events.
4. CALENDAR, FACILITIES & EVENTS
- Maintain the master church calendar.
- Coordinate baptisms, weddings, and reservations for the utilization of church facilities.
- Communicate building use requests to the pastoral staff for approval.
- Handle paperwork for approved building use requests and go over building use policies.
- Schedule and coordinate facility tours upon guests' inquiries for building usage.
- Aide ministry staff in coordinating church events.
5. EQUIPMENT & SUPPLIES
- Order supplies, books, and schedule maintenance on church copier and other office equipment.
- Ensure office equipment is maintained and in workable condition and stocked with paper, toner, etc.
- Maintain adequate inventory of office supplies for the office and various departments.
- Purchase office supplies and equipment.
- Ensure church members are trained on office equipment prior to using it.
- Keep supplies stocked around campus (i.e. offering envelopes, visitor cards, membership cards, etc)
6. FINANCIAL SUPPORT
- Assist the Finance ministry team and church bookkeeper with various accounting related duties, including but
- not limited to:
- Reporting weekly giving receipts
- Tracking building usage payments
- Other duties as assigned.
QUALIFICATIONS & SKILLS
- Prior administrative assistant experience preferred but not required.
- Proficient in Mac (Pages, Numbers, Keynote) and Microsoft Office (Word, Excel, PowerPoint).
- Ability to learn and show proficiency in ProPresenter, Planning Center, Swift Publisher and other technology-based systems used by the church.
- Demonstrate proficiency with computers, software, and technology.
- Strong written and verbal communication skills.
- Able to organize and prioritize work with little supervision.
- Able to write correspondence, reports, and summarize information.
- Able to attend meetings as requested.
