POSITION SUMMARY
The Administrative Assistant is responsible for ensuring efficient day-to-day administrative operations. This role supports client services, staff coordination, and internal administrative and HR processes. The position requires strong organizational skills, attention to detail, and the ability to work in a fast-paced healthcare environment.
EDUCATION AND TRAINING
Minimum of a high school diploma or GED required; an associate’s degree or higher is preferred
Formal vocational training in office administration, computer skills is preferred
Previous experience in a mental health or healthcare setting is preferred
Familiarity with mental health and basic human resources terminology and practices is preferred
RESPONSIBILITIES
Primary responsibilities include, but are not limited to:
· Answer phones and greet clients in a professional manner
· Assist clients with check-in and completion of required paperwork
· Schedule and confirm client appointments
· Maintain client correspondence and direct inquiries appropriately
· Compile, maintain, and update client records and master client lists
· Provide coverage where needed, including front desk operations
· Complete additional duties as assigned by management
· Assist with insurance billing processes as needed
· Take notes during staff meetings and assist with documentation
· Support daily office operations and workflow coordination
· Assist the Human Resources Director with administrative tasks
· Coordinate onboarding processes, including pre-employment and new hire verifications
· Scan, upload, and maintain employee records in compliance with agency standards
· Coordinate staff trainings, meetings, and special events
· Maintain communication with staff regarding scheduling and administrative updates

Pay: $17.00 - $20.00 per hour
