Overview:
Project Coordinator assists and supports the Construction Projects team in performing administrative functions to include the processing of incoming projects, transmitting of documents within/without the organization, general document controls, and other tasks as assigned by Operations, Engineering, Sales, and Accounting Departments pertaining to the administration of ongoing construction projects.
Requirements
Primary Responsibilities:
- Responsible for the receipt and entry of new project bookings and change orders from Sales Department into Sage Intacct accounting system, followed by the distribution of completed job bookings to appropriate Engineering and Operations departments, as well as to Accounting/Billing.
- Ensures all administrative requirements for each project are met and obtains appropriate documentation as necessary. Administrative requirements may include (but not limited to): review and track contract documents, review and ensure compliance with insurance requirements, obtain and review tax status documentation, obtain and distribute project schedules, obtain permits, prepare and issue closeouts, etc.
- Receive project bookings from sales, assimilate project information provided into standard formats utilized by various departments, ensuring all necessary paperwork is current and properly filed.
- Ensure all projects adhere to established company guidelines and frameworks.
- Work closely with Sales, Operations, Engineering and Accounting Departments.
- Communicate internally with project stakeholders as well as externally with customers regarding project approvals and other administrative requirements related to the project as necessary.
- Competency in Microsoft applications including Word, Excel, Outlook and Teams required.
- Fast, accurate data entry skills
- Excellent organizational skills
- Good communication and interpersonal skills
- Ability to multitask and thrive in a fast-paced environment, to include prioritization of assigned tasks and flexibility to adapt to changing priorities.
- Experience using SAGE Construction and Real Estate Accounting software products preferred.
- Experience in construction industry or contract administration preferred.
