Position Overview:
The role of Regional Inventory Manager reports to the VP, the Regional Inventory Manager, leads multi-state inventory integrity, compliance, and retail procurement while partnering with the Controller and CFO to ensure accurate financial inventory performance.
Responsibilities:
- Partner with Accounting to ensure inventory activity is accurately reflected in the GL and COGS.
- Reconcile seed-to-sale systems (e.g., METRC, Dutchie), ERP (Sage Intacct), and inventory tools (e.g., Distru) on a recurring basis, at least monthly.
- Prepare inventory valuation and roll-forward schedules for month-end, quarter-end, and year-end close.
- Produce inventory aging reports and ensure appropriate classification of inventory assets (biomass, WIP, finished goods, packaging, supplies).
- Validate and document all inventory adjustments, write-offs, shrink, and transfers through approval workflows and audit trails.
- Lead annual physical inventory audits aligned with GAAP and state compliance standards; drive participation, documentation, and remediation.
- Support cost accounting analysis (yields, conversions, scrap/loss, SKU-level costing) with Finance and Operations.
- Collaborate with Cultivation/Manufacturing/Production to forecast materials and coordinate schedules.
- Ensure inventory availability supports harvest plans, extraction batches, packaging, and distribution timelines.
- Participate in weekly production planning meetings to provide real-time inventory insights, constraints, and recommendations.
- Partner with Procurement/Operations on vendor supply chain performance, delivery cadence, and cost efficiency.
- Identify bottlenecks and recommend process or system improvements to improve flow and reduce loss.
- Execute and manage Purchase Orders for 3rd-party retail purchasing for all states, aligned to Senior Leadership/VP Retail strategy.
- Support retail purchasing and menu direction with data-driven recommendations based on sales velocity, margins, and localized demand.
- Coordinate inventory transfers from manufacturing to dispensaries with accurate manifests and compliant tagging/stickering/workflows.
- Own coordination with retail/commercial leaders regarding slow-moving inventory, discounting plans, E&O reserves, and write-off forecasting.
- Track product performance by SKU/batch/category; deliver formal reporting to leadership monthly.
- Ensure stores have POS menus (e.g., Dutchie) reflect accurate quantities and costs, synchronized timely.
- Support loyalty and merchandise programs by ensuring adequate inventories, minimizing aging, and coordinating with third-party vendors.
- Assist with procurement of promotional supplies and employee gear as needed with HR/Admin.
- Develop recurring inventory reporting on: on-hand balances, aging, shrink/loss trends, yield performance, and DOI/turnover.
- Implement and maintain cycle count programs to ensure continuous accuracy between physical and perpetual inventory.
- Use analytics to recommend assortment and purchasing changes, operational improvements, and cost savings.
- Support budgeting/forecasting cycles, providing assumptions on cost trends, waste reduction, and capacity needs.
- Maintain strong regional field presence to coach and support store inventory owners (Inventory Specialists/AGMs/GMs).
- Build, publish, and maintain SOPs for inventory, purchasing, receiving, transfers, menu accuracy, and system workflows.
- Train retail and operations teams on systems (METRC, ERP, Distru, POS/Dutchie, LeafLink, Cannahub, etc.) and verify proficiency.
- Establish a consistent communication and escalation cadence to prevent repeat execution errors.
- Ensure stores follow standardized ordering and inventory protocols while allowing for store-specific demand planning.
Key Performance Indicators (KPIs)
Success in this role will be measured by:
· Inventory accuracy across systems (METRC ↔ ERP ↔ Distru/POS), with minimal variance.
· Improvement in inventory turns and DOI (days inventory on hand), by state and store.
· Reduction in aging inventory (30/60/90 day buckets) and shrink/loss rates.
· On-time, compliant completion of monthly reconciliations and year-end physical audit.
· Store-level ordering quality and adherence to purchasing SOPs.
· Documented training completion and reduced repeat store execution errors.
· Forecast accuracy for net working capital tied to inventory changes.
Qualifications:
- Must be 21 years of age or older
- Bachelor’s degree in Business, Finance, Supply Chain, Operations, or related field (or equivalent experience).
- 5 years progressive experience in inventory management, procurement, accounting/finance, and/or analytics.
- Experience in multi-entity, multi-state operations; cannabis vertical operator experience strongly preferred.
- Working knowledge of GAAP inventory accounting, valuation, COGS, and audit readiness.
- Proficiency with seed-to-sale systems (METRC or equivalent), POS/menu systems (Dutchie preferred), and inventory platforms (Distru or similar).
- ERP experience preferred (Sage Intacct, NetSuite, Dynamics, Oracle, Process Pro, etc.).
- Strong Excel skills; PowerBI/Tableau/Alteryx experience valued.
- Data-driven, systematic approach to reporting, root cause analysis, and automation.
- Excellent communication and cross-functional leadership skills; ability to influence without authority.
- Growth mindset with interest in advancing skills in automation, BI, and emerging tech (RPA/GenAI).
- Ability to operate independently and collaboratively, manage priorities, and present to executive leadership.
Physical Requirements
· Standing/moving 2–3 hours at a time during audits or store/warehouse visits.
· Prolonged sitting/standing and use of office equipment.
· Occasional lifting up to 25 lbs.
