What You Will Do
- Management of purchasing for the practices from multiple outside vendors and well as internal departments, pharmacy 340B, FRMC Purchasing, and Materials. Orders and obtains price quotes for special orders and equipment for clinics.
- Monitors monthly unit inspections, audits medications and other supplies.
- Assists in ensuring that schedulers/providers are meeting the goals and volume targets that have been set for them, processes are being followed and are compliant with regulation and policies, and practices are moving in a positive direction.
- Provides hiring assistance for clerical employees and employee relations. Provides input on the evaluations of clerical employees. Functions as the time editor for FCCC employees. Manages clinic scheduling to ensure proper staffing levels are maintained so providers have the support that they need to run a successful clinic.
- Ensures compliance with licensing for all staff and with regulatory agencies, mandatory office and laboratory point-of-care competencies for testing, quality controls for all testing equipment and refrigerators/freezers, vaccine paperwork and required communications for patients and PCP’s, oversight of SmartTemp processes and troubleshooting.
- Works with new hires to make sure that they have the proper training and education to succeed in their role.
- Engages with the Manager and the staff on patient satisfaction issues. Works to ensure superior patient satisfaction and HIPAA compliance, as well as addressing patient and staff concerns.
- Monitors monthly staff and individual clinic meetings in each service line to keep staff and providers current, including taking and maintaining records of minutes. Helps identify issues and challenges, as well as successes.
- Engages staff and providers to come up with ways to improve workflow processes and meet their practice goals. Maintains all forms, including referrals, and assures proper distribution of same.
- Supervises and trains front desk staff and all volunteers.
- Oversees all of billing processes, including manual billing process for profess for nurse practitioners, vendor bill processing for all clinics, monitoring of billing rejections, including corrections and rebilling, maintenance of billing interface processes with FRMC and FPG billing departments, transmission of daily interface batches.
- Assures billing is completed in a timely manner by providers and encounters are closed.
- A minimum of five years of experience in the healthcare field, with at least 2 years of experience in a leadership role preferred. High school graduate; Experience in medical ambulatory setting preferred.
- Computer skills sufficient to be proficient in Microsoft Office required.
- Ability to monitor and conduct billing processes, manage scheduling and payroll, and oversee purchasing and supply chain operations.
- Must possess a valid State of Ohio motor vehicle operator's license and insurable under Firelands auto policy. Employee must provide proof of personal automobile liability insurance coverage upon request.
- Develops and maintains effective relationships with medical and administrative staff, patients, and the public. Prepares and presents of reports for management as requested.
- Successful completion of a 90-day probationary period.
