The Firehouse Center for the Arts is a nonprofit performing arts venue dedicated to presenting live performances, fostering community engagement, and supporting artists. We host a mix of ticketed performances, classes, rentals, and special events throughout the year.
The Part-Time Bookkeeper (24-28 hours per week) role is responsible for managing the day-to-day financial operations of the performing arts center. This role ensures accurate financial records, timely reporting, and compliance with non-profit accounting standards. The ideal candidate is detail-oriented, organized, and comfortable working independently while collaborating with staff and external partners. The essence of this role is the ability to be a reliable finance partner, including strong attention to detail, strong organizational skills, and ability to work with integrity and honesty.
Hybrid Schedule: at least 8-10 hours on-site each week.
Key Responsibilities Include:
Accounting & Bookkeeping
- Maintain accurate and up-to-date financial records using QuickBooks Online
- Record and reconcile all transactions, including ticket sales, donations, grants, memberships, rentals, and concessions
- Process accounts payable and accounts receivable
- Prepare and post journal entries as needed
- Reconcile bank and credit card accounts monthly
Payroll & Compliance
- Process payroll or coordinate with an external payroll provider
- Track employee hours, contractors, and stipends
- Coordinate with external providers to prepare and file required state and federal reports
- Assist with year-end preparation for auditors and tax filings (e.g., Form 990)
Reporting & Budget Support
- Prepare monthly financial statements (income statement, balance sheet, cash flow)
- Track budgets by program, event, and department
- Provide financial reports and analysis to the Executive Director and Board Treasurer
- Assist with grant reporting and restricted fund tracking
On-Site Responsibilities (8–10 hours/week)
- Handle cash and check deposits
- Reconcile box office and front-of-house sales
- Coordinate with box office, development, and operations staff on revenue tracking
- Maintain organized financial files and documentation
Job Qualifications
Required
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field
- 3 years of bookkeeping or accounting experience (nonprofit experience strongly preferred)
- Proficiency with accounting software (QuickBooks Online)
- Strong understanding of GAAP and nonprofit accounting principles
- High attention to detail and strong organizational skills
- Ability to manage confidential financial information with integrity and honesty
- Reliable access to a secure remote work environment
Preferred
- Experience working with performing arts organizations, theaters, or cultural nonprofits
- Familiarity with ticketing systems and donor management/CRM platforms
- Experience with non-profit grant tracking and restricted funds
Work Environment & Schedule
- Hybrid position with 8–10 hours per week onsite at the venue
- Remaining hours may be completed remotely
- Some flexibility in scheduling required around performance weekends or month-end close
- Work category of light work, performed indoors, requires seated positions, communication with others, visual acuity to inspect work product and identify mistakes, fine motor coordination for typing
