Position Summary
The Inventory & Purchasing Specialist serves as the operational bridge between purchasing, inventory, accounting, and production. This role is responsible for ensuring the company has the right materials at the right time while maintaining accurate inventory and financial records.
You will own the lifecycle of all non-cannabis raw materials—from forecasting inventory needs and placing purchase orders to verifying deliveries and reconciling invoices. You'll also support our accounting functions by managing customer payments, monitoring accounts receivable, assisting with accounts payable, and ensuring purchasing and inventory records remain accurate.
Success in this role means preventing production downtime, maintaining inventory accuracy, improving purchasing efficiency, and helping build systems that support the continued growth of Fire Bros.
Responsibilities
Inventory & Purchasing
- Monitor inventory levels and reorder points for all non-cannabis raw materials, packaging, and consumables.
- Issue purchase orders to maintain uninterrupted production while minimizing excess inventory.
- Maintain vendor lead times and purchasing schedules to support a just-in-time inventory strategy.
- Monitor inventory consumption trends and recommend purchasing adjustments.
- Build and maintain strong vendor relationships while seeking opportunities to improve pricing, service, and lead times.
- Maintain accurate inventory records for all non-THC consumables.
- Coordinate routine cycle counts and investigate inventory discrepancies.
- Assist with reconciliation of THC inventory records by comparing physical inventory, CCRS records, and internal inventory systems, escalating discrepancies as needed.
Receiving & Inventory Control
- Own the receiving process for all inbound non-cannabis materials.
- Verify shipments against purchase orders and packing slips before inventory is received into the system.
- Ensure inventory is accurately received, labeled, and stored.
- Capture and organize all receiving documentation.
- Perform three-way matching of Purchase Orders, Packing Slips, and Vendor Invoices .
Accounting Support
- Process customer payments, including ACH, checks, and cash.
- Monitor accounts receivable and communicate with the Sales team regarding outstanding invoices.
- Own accounts payable; review vendor invoices for accuracy, and process payments.
- Ensure transactions are accurately coded according to the company's Chart of Accounts.
- Assist with month-end inventory reconciliations and inventory-related accounting.
- Support accurate reporting of material costs and inventory values.
Reporting & Continuous Improvement
- Prepare monthly reports on cash receipts, accounts receivable, purchasing, and inventory metrics.
- Monitor inventory performance and vendor reliability.
- Identify opportunities to improve purchasing, inventory, and accounting workflows.
- Help develop and maintain standard operating procedures.
- Support internal audits and maintain organized documentation for financial and regulatory compliance.
Other Duties
- Assist with special projects and continuous improvement initiatives.
- Perform other duties as assigned.
Qualifications
- 2 years of experience in purchasing, inventory management, accounting support, or a related operational role.
- Experience in manufacturing, distribution, food production, consumer packaged goods, or cannabis is preferred.
- Strong attention to detail and organizational skills.
- Excellent analytical and problem-solving abilities.
- Proficiency with Microsoft Excel and business software systems.
- Experience with ERP, inventory management, or accounting software is preferred.
- Strong communication skills and the ability to work effectively across multiple departments.
- Ability to manage multiple priorities in a fast-paced environment.
- Ability to lift heavy boxes.

Pay: $75,000.00 - $85,000.00 per year
