We’re looking for a Student Services Coordinator who will sit at the center of our day-to-day operations—keeping students supported, tutors prepared, and families informed. This role begins with a strong focus on admin and operations but offers significant room for growth for the right person.

About the Role

This is not a “just file paperwork” job.

As our Student Services Coordinator, you’ll help manage scheduling, communications, and logistics that allow our programs to run smoothly. You’ll use strong judgment, attention to detail, and proactive communication to anticipate needs and prevent problems before they arise.

We are especially interested in someone who is excited about education, has a “can-do” attitude, and enjoys being the person who quietly makes everything work behind the scenes.

Key Responsibilities

Scheduling & Daily Operations

  • Manage the day-to-day schedule for tutoring and test prep sessions.
  • Communicate with students, parents, and tutors to confirm, adjust, and optimize schedules.
  • Anticipate conflicts and plan ahead so scheduling is efficient and minimizes last-minute issues.

Student & Family Communication

  • Serve as a warm, professional, and reliable point of contact for families and students.
  • Onboard new client families, ensuring they receive all necessary information (policies, expectations, next steps) in a timely, organized way.
  • Send practice test (PT) instructions, Zoom links and instructions, platform logins (such as myFES/origins), and reminders.

Logistics & Materials

  • Coordinate and ship materials (often via Amazon) so students have books, tests, and resources ready before sessions.
  • Keep track of who needs what—tests, books, links, reminders—and make sure nothing slips through the cracks.

Testing & Session Support

  • Occasionally proctor weekend practice tests (remote or in-person, depending on setup).
  • Confirm weekend tutoring schedules and follow up with families and tutors as needed.

Schedule, Hours & Flexibility

  • Approximately 20–28 hours per week / 100–110 hours per month.
  • Hours are negotiable for the right person. If you’re a strong fit and interested in taking on more responsibility and growing quickly, there may be opportunities for increased hours over time.
  • You will receive a work cell phone and are expected to:
  • Be on call Monday–Thursday during after-school hours when sessions are taking place.

  • You have strong common sense and intuition and can often spot potential problems before they arise.
  • Detail-oriented and organized, with a keen eye for efficiency and clear systems.

Skills & Background

  • A genuine interest in education is essential; background or strong interest in education, marketing, and/or business is a plus.
  • Excellent written and verbal communication skills, especially via email and text with parents, students, and tutors.
  • Comfortable with common technology tools (email, Zoom, shared documents, basic scheduling and CRM systems, Amazon for shipping).
  • A good eye for marketing and presentation—you notice how communication and materials will be perceived by families.
  • Prior experience in education, customer service, administrative roles, or operations is helpful, but the right mindset and working style are just as important.
