Position Summary
We are seeking a professional, reliable, organized, and customer-focused Receptionist / Administrative Support team member to serve as the first point of contact for our office. This role supports daily operations by managing incoming communications, assisting customers and visitors, processing orders, maintaining records, and producing accurate reporting for management.
The ideal candidate is detail-oriented, dependable, and able to multitask effectively in a structured office environment.
Essential Duties and Responsibilities
· Answer incoming phone calls and manage voicemail messages
· Greet and direct visitors, including customers, suppliers, drivers, and applicants
· Take customer orders; verify account information and quantities; obtain approval for same-day deliveries when applicable
· Process hot shot, inside sales, and web orders as needed
· Coordinate with warehouse staff regarding order fulfillment
· Process sample requests as directed
· Complete end-of-day paperwork
· Produce and distribute daily and regular management reports
· Reconcile and process invoices accordingly for special events and ensure accurate final invoices.
· Assist with maintaining customer records
· Send and receive USPS mail
· Support special projects and perform additional office support tasks as assigned
· Proactively contact existing customers to follow up on ordering needs and inform them of new products relevant to their previous purchases and interests.
QualificationsEducation and Experience
High School Diploma or equivalent required. One to two years of related administrative or customer service experience preferred. Equivalent combination of education and experience will be considered.
Required Skills and Abilities
· Strong written and verbal communication skills; ability to prepare reports and professional correspondence
· Ability to calculate discounts, percentages; basic algebra skills
· Strong problem-solving and reasoning abilities
· Proficiency in Microsoft Office (including Outlook)
· Ability to quickly learn and adapt to new software systems
Work Environment
Office or meeting room environment with a typically quiet noise level. No travel required.
