Office Manager / Legal Administrative Assistant
Position Summary
We are seeking a highly organized and experienced Office Manager / Legal Administrative Assistant to oversee the daily administrative operations of our law firm. This role is essential in maintaining an efficient, professional, and client-focused work environment while supporting attorneys, supervising administrative staff, and ensuring smooth office operations.
The ideal candidate will have strong leadership abilities, excellent communication skills, and prior experience managing office functions within a legal environment.
Key Responsibilities
Office Operations
- Manage the day-to-day operations of the office to ensure efficiency and productivity.
- Develop, implement, and maintain office policies and procedures.
- Coordinate office supplies, equipment, facility maintenance, and vendor relationships.
- Monitor office budgets and expenses while identifying cost-saving opportunities.
- Plan and coordinate firm events, meetings, and employee engagement activities.
Administrative & Staff Management
- Supervise Legal Administrative Assistants, interns, and other support staff.
- Coordinate staff schedules, onboarding, training, and performance evaluations.
- Balance workloads to ensure timely completion of assignments.
- Foster a professional, collaborative, and client-focused workplace culture.
Legal & Compliance Support
- Maintain confidential legal and administrative records in accordance with firm policies.
- Ensure compliance with legal, ethical, and regulatory requirements.
- Assist attorneys with administrative tasks and document management.
Facilities & Technology
- Oversee office facilities, maintenance, security, and workplace safety.
- Coordinate with IT providers to maintain office systems and technology.
- Train staff on new software, technologies, and office procedures.
Executive Support
- Support firm leadership with operational planning and process improvements.
- Prepare reports, presentations, and performance metrics.
- Identify opportunities to improve workflow efficiency and operational effectiveness.
Qualifications
- Bachelor's degree in Business Administration, Legal Studies, or a related field preferred.
- Minimum of 5 years of office management or administrative experience, preferably within a law firm.
- Strong knowledge of legal terminology, court procedures, and document management practices.
- Proficiency with Microsoft Office Suite and legal management software.
- Excellent organizational, communication, writing, proofreading, and interpersonal skills.
- Ability to manage confidential information with professionalism and discretion.
- Proven leadership skills with the ability to supervise staff and manage multiple priorities in a fast-paced environment.
