Position Overview
We are seeking a highly experienced, detail-oriented Client Service Associate / Executive Assistant to provide comprehensive support to senior leadership and client operations. This role requires extensive experience managing complex financial documentation, administrative processes, and sensitive information.
This is not an entry-level position. We are looking for someone who is methodical, reliable, proactive, and polished, with the ability to maintain the highest standards of accuracy and discretion.

Key Responsibilities
Client & Documentation Management
- Maintain, update, and audit financial, client, and investment records with extreme attention to detail
- Prepare, organize, and manage complex administrative and compliance-related documentation
- Ensure all client records, correspondence, and internal documentation are accurate, complete, and professionally maintained
- Attend client meetings, take thorough and organized notes, and track action items and follow-ups
- Assist with professional client communication and scheduling
Executive & Administrative Support
- Provide high-level administrative support to senior leadership
- Manage complex calendars, deadlines, and file organization with precision
- Prepare professional reports, presentations, and correspondence related to financial operations
- Handle confidential financial and client information with the utmost discretion
- Coordinate travel arrangements and itineraries efficiently
Personal & Ad Hoc Support
- Assist with personal and administrative tasks as needed
- Ensure leadership schedules remain organized and uninterrupted
Candidates must be comfortable working in a fast-paced, detail-driven environment where accuracy and follow-through are essential.
Required Qualifications
- Proven experience as an Executive Assistant, Client Service Associate, or Senior Administrative Assistant
- Strong preference for experience in financial services, investment, wealth management, or professional services environments
- Demonstrated experience handling complex documentation, compliance materials, and sensitive client information
- Exceptional organizational skills and attention to detail (this is critical)
- Proficiency with Microsoft Office (Excel, Word, Outlook) and CRM systems (Salesforce preferred)
- Excellent written and verbal communication skills
- Ability to multitask, prioritize, and work independently
- High level of professionalism, discretion, and reliability
Compensation & Benefits
- Salary: $50,000 – $60,000 per year (based on experience)
