Key Responsibilities

  • Primary Client Liaison: Handle incoming service calls with professionalism, empathy, and clarity regarding financial planning, investment accounts, and insurance products.

  • Account Onboarding & Processing: Draft, review, execute, and track all client onboarding documentation, account setups, transfers, and distribution requests.

  • Adviser Appointment Prep: Prepare comprehensive meeting folders, portfolio summaries, illustrations, and preliminary review materials prior to client consultations.

  • Operational Execution: Process general account maintenance, including beneficiary updates, address changes, rollouts, and quote requests.

  • CRM & Record Keeping: Maintain meticulous, compliant notes in client records and actively follow up on open operational items.

Qualifications & Requirements

  • Industry Experience: Minimum 2 years of direct administrative experience within a financial advisory, wealth management, or financial planning firm (Required).

  • Industry Familiarity: Prior hands-on experience with custodian account openings, financial paperwork, and advisor protocols.

  • Tech Savvy: High proficiency in the Microsoft Office Suite (Word, Excel, Outlook) and financial CRM platforms.

  • Soft Skills: Outstanding phone presence, active listening, structured note-taking habits, and high emotional intelligence.

  • Work Style: Ability to work independently, prioritize multi-step tasks, and maintain rigorous attention to detail.
