Position Title: Receptionist/Administrative Assistant
Location: Filling Home business office in Napoleon
Hours: 8:00 am – 4:00 pm Monday - Friday
Reports to: Mission Advancement Director & Health Information Management Manager
Job Summary:
- Receives and greets all Filling Homes visitors
- Handles the telephone switchboard system by screening calls and referring to appropriate personnel
- Processes/distributes all incoming/outgoing mail and packages
- Orders and disburses office supplies and assists in maintaining all office machines
- Maintains and makes corrections to Filling Home policy manuals
- Processes all checks and cash for Filling Homes’ clients and Fulfilling Housing
- Serves as a trusted business assistant and confidential liaison to many, managing sensitive business interactions including contracts, bids, and agreements with accuracy and discretion
- Assists Mission Advancement by accurately logging, tracking, and handling donor information and monetary contributions, including acknowledgements, to support financial integrity and accurate reporting
- Assists the Health Information Management (HIM) Department with clerical tasks as assigned
- Completes tasks for other departmental staff as requested/needed
- High school diploma required.
- Must be able to work with discretion and maintain confidentiality of information
- Must be able to multi-task, prioritize projects, and work independently with minimal supervision
- Accurate typing abilities and attention to detail
- Knowledge of Microsoft Word and Excel
- Ability to communicate effectively with supervisor, co-workers and visitors
- Must be able to effectively communicate both verbally and in writing, with employees, donors, volunteers, and the public in a courteous manner.
- Must be able to work an occasional evening or weekend hours for special events.
