Looking for a highly organized, proactive, and detail-oriented Executive Assistant to support Head of Operations for Confidential client in beauty and lifestyle space. Responsibilities
Executive & Administrative Support
- Manage complex calendars, scheduling, and meeting coordination for the Head of Operations
- Coordinate travel arrangements, itineraries, and expense reporting
- Prepare presentations, reports, documents, and internal communications
- Track action items and help manage priorities across departments
- Serve as a point of contact between leadership, vendors, and internal teams
- Assist with general office management and operational support as needed
Shopify & E-Commerce Support
- Assist with administrative tasks related to Shopify operations
- Support product launches, inventory updates, and website maintenance coordination
- Help organize product data, promotions, and reporting
- Coordinate with marketing, fulfillment, and customer service teams to ensure smooth execution
- Monitor order issues and assist with operational follow-up when needed
Event Coordination
- Support planning and execution of company events, pop-ups, trade shows, photoshoots, and brand activations
- Coordinate vendor communications, timelines, logistics, and materials
- Assist with travel and accommodations for events
- Help manage event budgets, invoices, and schedules
- Provide on-site support during events when necessary
Qualifications
- 1 years of experience in an Executive Assistant, Operations Coordinator, or Administrative role
- Experience supporting senior leadership preferred
- Familiarity with Shopify or e-commerce platforms strongly preferred
- Exceptional organizational and multitasking skills
- Strong written and verbal communication skills
- Proficiency in Google Workspace, Microsoft Office, and project management tools
- Ability to work independently, anticipate needs, and problem-solve proactively
- Comfortable in a fast-moving startup or growing brand environment
- Interest in beauty, wellness, or consumer products is a plus
Salary : $15 - $20
