Job Title: Transportation Supervisor
Reports To: Administrator and/or Director of Nursing (DON)
Supervises: Transportation Staff / Drivers

Position Summary
The Transportation Supervisor is responsible for overseeing and coordinating all resident transportation services to ensure safe, timely, and efficient transport to and from medical appointments, programs, and facilities. This role provides direct supervision to transportation staff, ensures regulatory compliance, maintains fleet operations, and collaborates with clinical teams to support resident care needs.
Principal Responsibilities
Transportation Coordination & Oversight
Oversees daily transportation operations, ensuring all resident appointments and transportation needs are scheduled and completed timely.
Develops, reviews, and adjusts transportation schedules based on resident acuity, priority, and appointment changes.
Ensures transportation coverage for admissions, discharges, and external appointments.
Monitors and improves workflow efficiency within the transportation department.
Staff Supervision & Leadership
Supervises, schedules, and evaluates Transportation Aides/Drivers.
Provides training, coaching, and ongoing performance feedback to transportation staff.
Ensures staff adherence to safety practices, policies, and procedures.
Conducts in-services and ensures completion of required training and certifications.
Resident Care & Safety
Ensures safe transport of residents in accordance with physician orders and clinical guidelines.
Monitors staff in proper lifting, transferring, and transporting techniques.
Ensures residents are observed during transport and that any change in condition is promptly reported to nursing staff.
Promotes resident comfort, dignity, and rights during all transport activities.
Communication & Coordination
Serves as primary liaison between transportation, nursing staff, physicians’ offices, hospitals, and outside providers.
Ensures timely communication of schedule changes to nursing, ancillary staff, residents, and responsible parties.
Coordinates medical record transport and required documentation for appointments.
Fleet & Equipment Management
Oversees maintenance and cleanliness of all transportation vehicles.
Ensures routine maintenance, inspections, mileage logs, and repairs are completed and documented.
Maintains compliance with all vehicle safety regulations and company policies.
Compliance & Documentation
Ensures compliance with all federal, state, and local regulations related to transportation and resident care.
Maintains accurate transportation logs, incident reports, and scheduling records.
Investigates and reports incidents, accidents, or safety concerns.
Safety & Risk Management
Enforces safety policies and procedures for transportation staff.
Identifies and addresses potential hazards related to transportation operations.
Participates in emergency preparedness and disaster response planning.
General Responsibilities
Attends and participates in required meetings, trainings, and in-services.
Maintains regular attendance and adherence to assigned schedules.

Demonstrates knowledge of fire safety and emergency procedures.
Staff Development
Coordinates and leads transportation-related training and competency programs.
Ensures staff remain compliant with certifications and regulatory requirements.
Communicates updates to policies, procedures, and regulations.
Qualifications
Valid driver’s license with acceptable driving record.
PAT/MVO Trainer Certification
Current BLS/CPR certification (as required).
Prior experience in transportation services, preferably in healthcare.
Previous Supervisory Or Leadership Experience Preferred.
Knowledge of state and federal transportation and healthcare regulations.
Travel
Significant; includes transporting residents to off-site appointments and facilities.
