SUMMARY - GENERAL PURPOSE OF JOB
Highly motivated and organized individual that can work in a fast-paced environment. Plan, direct, monitor, and coordinate projects from bidding to completion, managing all activities from bid submission, production, installation to close-outs. Position requires a high level of collaboration with other key departments, i.e. Sales, Marketing, Supply Chain, Legal, Production, Logistics and Customer Service.
The Project Manager is primarily responsible for achieving success in managing the customer, scope, schedule and budget of their assigned project(s). Working with a sense of urgency at all times is required to remain in a proactive position of normal operation. The Project Manager is typically in charge of Engineering, Procurement and Commissioning related scopes of work. Engineering includes all areas of design from conceptual through construction documents. Procurement includes is the complete process of soliciting qualified quotations, contracting/purchasing, and shipping/delivery coordination of goods and services. Commissioning typically includes inspection, start-up, testing, customer acceptance and close-out document submittal activities. As the Project Manager you will be responsible for understanding all details of the projects and how they support the overall business strategy. You will develop collaborative working relationships with business partners and senior-level leadership through effective communication and delivering world-class customer service to the customer, internal, and external clients. Work directly with the Director of Operations and Regional Construction Managers. Position requires strong communication skills with customers, architects and engineers.
Job Summary: Ability to communicate professionally and demonstrate effective influential project leadership through all types of media with customers, vendors, managers, and associates, exhibiting poise, composure, and confidence when confronting high pressure or stressful situations. Ability to work independently and with a team in a fast-paced and high volume environment with emphasis on accuracy and timeliness. Technical aptitude and strong computer skills, with the ability to maneuver through several operating systems. Must have strong work ethic, be well organized, and reliable. Strong problem solving and troubleshooting skills. Certification in Project Management preferred. Bachelors Degree in applicable field is required
ESSENTIAL FUNCTIONS
Under limited supervision and much decision-making:
- Pre-Bid Process: to include procures necessary plans and specifications, scope review, take offs, request for quotes from subcontractors, conducts site survey, attend pre-bid meetings and provides technical sales support. Ensure that entries into our systems are complete and accurate. This will drive the pricing team to properly price all submissions, improve our inventory planning, production planning, logistics and forecasting processes. Elevate communication with the sales force.
- Bid Process: Preparation of pricing, solicitation of pricing and negotiation with external partners (site work contractors, installers, suppliers). Gather relevant information about the project to ensure accurate pricing/costing. Put together bid package. Keep track of pricing in their respective region for upcoming bids.
- Award Process: Distribute submittals, product data and samples for approval by the client. Coordinate effectively with customers to obtain approvals and fully executed contracts prior to manufacturing. Attend pre-construction and progress meetings Follow-up with Construction Managers/site work contractors for base preparation to coordinate the turf delivery with Logistics.
- Execution Process: Gather updates from Sales, project superintendents and installers on the status of each project. Ensure with the Logistics and Production that all the materials are delivered on time. Process RFI’s, base work invoices and change orders and question discrepancies if costs change after bid. Works with customers, crews, sub-contractors and Sales to resolve operational and technical issues and challenges. Prepare close-outs and warranty with Customer Service Department. Continuously communicate with the client on evolution of the project.
- Completion Process: Follow-up and resolve any punch list items to ensure payment will not be held back. Attend closeout calls with clients. Process improvement, post-mortem upon completion of a difficult project.
- Coordinate with customers to develop project plan including project scope, release schedule, milestones, deliverables etc. Identify and manage resource requirements, quality reviews, and documentations for project execution.
- Track and monitor project to make sure that the customer requirements are met. Improve customer relationship by providing timely and accurate responses to their inquiries.
- Manage customer’s expectations so that the project is deemed successful early and throughout the processes of completion. Build customer confidence and satisfaction so that the company is best placed to win extension business.
- Validate project plan and schedule to incorporate any changes requested by customers. Perform negotiations on project activities with customer when required. Inform internal management on customer needs and business opportunities.
- Coordinate internal resources and third parties \ vendors for the flawless execution of project objectives. Ensure resource availability and allocation.
- Coordinate calls, meetings and communications between customers and project team throughout the project implementation phase.
- Develop a detailed project plan to track process. Maintain and update a database of project related documents.
- Ensure that all projects are delivered on-time, within scope and within budget.
- Act as the first escalation contact for projects that do not go as planned.
- Work outside typical business hours to accommodate project demands.
- Complete special projects and other duties as assigned to support the business.
