What are the responsibilities and job description for the Office Manager position at Fesette Property Management?
Overview
Office Manager (with Social Media & Marketing Support)
We are seeking a highly organized, proactive Office Manager to support the daily operations of our real estate office while assisting with social media and marketing initiatives. This role is central to keeping the office running smoothly and supporting our agents, clients, and transactions from start to finish.
The ideal candidate brings strong administrative and organizational skills and either has experience with social media and digital marketing - or a willingness to learn and grow in that area. Attention to detail, adaptability, and a professional demeanor are essential, as this position plays a key role in both operations and outward-facing communications.
Responsibilities include managing office workflows, overseeing office inventory and essential supplies, maintaining files and compliance, and assisting with marketing materials and social media content to support listings and brand visibility. Training and support will be provided for marketing and social media functions as needed.
This is an excellent opportunity for someone who enjoys a dynamic environment, values teamwork, and is interested in growing alongside a fast-paced, locally rooted real estate firm.
Responsibilities
- Oversee daily real estate office operations, including front desk management, multi-line phone systems, reception duties, and general administrative support to ensure seamless communication with agents, clients, and vendors.
- Coordinate schedules for staff meetings, agent appointments, and company events through effective calendar management.
- Manage vendor relationships, including negotiating service contracts, coordinating marketing and signage vendors, ordering supplies, and maintaining strong working relationships.
- Support real estate–specific functions such as onboarding new agents and employees, maintaining personnel and transaction files, and assisting with compliance and brokerage recordkeeping requirements.
- Maintain organized filing systems for listings, transactions, and internal documents, ensuring accuracy and adherence to real estate compliance standards.
- Assist with marketing and social media initiatives, including creating graphics for listings and promotions, scheduling posts, and maintaining consistent branding across platforms.
- Prepare and distribute mass email campaigns to clients, agents, and subscribers, including newsletters, listing announcements, and event communications.
- Help maintain and update company websites and listing platforms, including editing content, uploading property information, and ensuring accuracy and timeliness.
- Organize company events, open houses, agent meetings, and client-facing functions through detailed planning and coordination to support team engagement and brand visibility.
Qualifications
- Proven experience in office management, administrative, or operations roles within a professional environment; real estate or brokerage experience is a plus but not required.
- Ability to support, organize, and motivate agents and in a fast-paced office setting.
- Proficiency or ability to learn calendar management tools, CRM platforms, and multi-line phone systems.
- Excellent communication skills, including professional phone etiquette, written correspondence, and strong organizational abilities.
- Experience coordinating vendors including marketing, signage, printing, technology, and general office services.
- Comfortable handling clerical and operational duties such as filing, document management, front desk responsibilities, and maintaining accurate records.
- Experience with social media, graphic creation, email marketing, or website content management—or a demonstrated willingness to learn—is strongly preferred.
- High level of attention to detail, ability to multitask, and confidence managing deadlines independently.
