Now, we're looking for a Patient Services Manager who takes that seriously.
The Role
Reporting to the Regional Executive Director, you'll lead the front-line team that shapes every patient's journey — from their first consultation through active treatment. That means managing financial services representatives, new patient coordinators, and front desk staff, while keeping operations running smoothly behind the scenes.
This isn't just an operations role. You'll be the person patients and staff turn to when things get complex, and the one who builds the systems and culture that make exceptional care possible.
What You'll Do
- Lead and develop a team of patient-facing and administrative staff, fostering a culture of excellence and empathy
- Oversee scheduling, intake, financial services, and appointment coordination to ensure efficient, seamless patient flow
- Serve as the escalation point for complex patient concerns — bringing both solutions and calm
- Partner with clinical, billing, and administrative teams to continuously improve the patient experience
- Develop and refine workflows, protocols, and best practices across the patient services function
- Monitor satisfaction metrics and operational performance, and report on both
- Ensure full compliance with HIPAA and patient confidentiality standards
What You Bring
- 3–5 years of experience in a healthcare or fertility/reproductive health setting, including team management — required
- Bachelor's degree in healthcare administration, business, or related field — preferred
- Familiarity with infertility or reproductive health clinic operations — preferred
- Comfort with EHR systems and patient management software
- Strong communication skills and the ability to handle sensitive conversations with grace
- Organized, solutions-oriented, and able to juggle multiple priorities without dropping the human element
