Position Overview
We are seeking a reliable, organized, and motivated individual to join our team in a fast-paced office environment. This position works closely with our Operations Manager and Accounting Department to support daily operations, coordinate transportation requests, and provide excellent customer service.
Our office is busy, and no two days are exactly alike! We're looking for someone who can multitask, stay organized, think on their feet, and work well with others.
Job Responsibilities
Duties include, but are not limited to:
- Answer and manage incoming calls on a multi-line phone system.
- Accurately gather and enter customer information and transportation requests into our dispatch software.
- Coordinate and dispatch drivers for daily transportation assignments.
- Maintain organized and up-to-date driver and vehicle records.
- Prepare and process customer invoices for transportation services.
- Communicate effectively with customers, vendors, drivers, and coworkers.
- Assist the Operations Manager and Accounting Department with administrative tasks as needed.
- Help ensure daily office operations run smoothly and efficiently.
Qualifications & Requirements
- Excellent customer service and telephone communication skills.
- Strong multitasking abilities with the ability to prioritize responsibilities in a busy office environment.
- Attention to detail, accuracy, and strong data entry skills.
- Good organizational skills and the ability to work independently and as part of a team.
- Ability to communicate professionally and effectively with customers, vendors, drivers, and coworkers.
- Comfortable using computers and learning new software programs.
- Familiarity with Google Workspace (Docs, Sheets, and Drive) and QuickBooks is helpful but not required.
- Dependable, punctual, and willing to assist wherever needed.
- Ability to remain calm, professional, and efficient while handling multiple responsibilities.
- Positive attitude, strong work ethic, and willingness to learn.
Previous dispatching or transportation industry experience is a plus, but not required. We are willing to train the right candidate!
Work Schedule
Monday – Friday | 7:30 AM – 5:15 PM
