We’re looking for a detail-oriented, proactive Construction & Permitting Coordinator to join our Project Management team. This hybrid role bridges the gap between project coordination and permitting management—helping ensure our projects move seamlessly from design to construction.
What You’ll Be Doing
Permitting Coordination
Manage the full permitting process for all design-build projects from pre-design through construction.
· Research and interpret local and state codes, ordinances, and jurisdictional requirements.
· Prepare, submit, and track permit applications, including building, site, signage, and specialty permits.
· Serve as the primary liaison with local municipalities, state agencies, and regulatory bodies.
· Coordinate with architects, engineers, and project managers to ensure permit drawings and documentation meet agency requirements.
· Monitor permit timelines and proactively resolve issues or requests for revisions to prevent delays.
· Maintain organized records of all permit documents, correspondence, and approvals.
· Communicate permitting status updates to internal teams and clients.
Project Coordination
· Collaborate with project managers to understand project scope, schedule, and deliverables.
· Assist with project setup, document control, and team coordination during preconstruction and construction phases.
· Review design plans and assist in identifying constructability issues or potential permitting conflicts.
· Support estimating efforts by coordinating bid documents, collecting subcontractor proposals, and preparing comparison summaries.
· Track project milestones, RFI responses, and submittals to keep teams aligned and projects on schedule.
· Maintain accurate and timely project documentation, including meeting notes, contracts, and correspondence.
· Assist with project closeout, including permit sign-offs, final inspections, and collection of warranties and O&M manuals.
Communication & Collaboration
· Act as the central point of contact for permit-related questions across departments.
· Facilitate clear communication between design, estimating, field operations, and administrative teams.
· Provide regular project updates and permitting status reports to project managers and leadership.
· Foster strong working relationships with city officials, clients, and design partners to support smooth project delivery.
What You’ll Bring
· Associate or bachelor’s degree in construction management, Architecture, Engineering, or related field preferred.
· 2 years of experience in commercial construction, project coordination, or permitting.
· Strong understanding of construction processes, documentation, and municipal permitting workflows.
· Exceptional attention to detail, organization, and follow-through.
· Strong written and verbal communication skills with an ability to interface professionally with public officials and clients.
· Familiarity with building codes, zoning regulations, and construction plan review processes.
· Proficiency in project management and construction software: ProCore, Microsoft 365, Bluebeam, Sage 300, and Microsoft Project.
