Job Summary
We are a busy, privately owned, multi-location dental practice group seeking a full-time Executive Assistant to the Owner. This is a fast-paced, hands-on role supporting both business and personal matters. You will help keep a multi-practice owner and practitioner organized, on schedule, and focused by managing day-to-day tasks and handling logistics. This position is ideal for someone tech-savvy, highly organized, and excited to learn dental practice management.
Duties
- Maintain strict confidentiality for all personal, business, and patient-related information
- Complete the owner's assigned tasks for day-to-day business and personal needs
- Manage calendars: schedule and confirm meetings, appointments, and internal staff meetings
- Help manage email: draft simple responses, flag priorities, and keep communication organized
- Coordinate travel for conferences, CE courses, business trips, and personal travel
- Prepare and organize documents, spreadsheets, basic reports, and presentations
- Learn and use dental and practice management software for scheduling, reports, and patient communication
- Assist with basic data entry and tracking of key business metrics
- Enter chart notes as dictated by the practitioner
- Support implementation of systems, checklists, and processes for smoother operations
- Help with marketing tasks: posting updates, basic social media support, flyers, and event announcements
- Coordinate with external vendors as needed
- Assist with planning staff meetings, CE events, and team appreciation activities
- Handle occasional personal tasks: appointments, reservations, errands, and simple household logistics
- Travel with the owner between practice locations and to occasional off-site meetings
- Perform other duties as assigned
Requirements
Required
- Comfortable with fast task-switching and multitasking in a dynamic environment
- Strong computer skills
- Ability to learn new software quickly, including dental and practice management systems
- Some experience or comfort with advertising and marketing
- Strong organization skills and attention to detail
- Strong written and verbal communication skills in English
- Professional, reliable, and able to maintain a positive attitude under pressure
- Must have reliable transportation and be able to travel between practice locations
- Comfortable working in and around a clinical setting
- Bachelor's degree or higher
Preferred
- Previous experience as a personal assistant, executive assistant, office manager, or similar role
- Experience in a dental or medical office
- Experience supporting a small business owner or executive
- Familiarity with basic marketing tools (e.g., Canva, email marketing platforms, social media scheduling)
Schedule
- Full-time, at least 40 hours per week
- Primarily Monday–Friday
- In-person role at practice locations and traveling with the owner
- Early mornings, evenings, or weekends may be required for travel, events, or urgent needs

Pay Range
- $30–$40 per hour, depending on experience and qualifications
- Full-time hourly role; overtime paid in accordance with applicable laws
Pay: $30.00 - $40.00 per hour
Expected hours: No less than 40 per week
