Position Summary

We are seeking a detail-oriented, organized, and proactive Office Manager / Office Administrator to oversee daily office operations and support our consulting team. The ideal candidate will have excellent communication skills, strong multitasking abilities, and a commitment to maintaining an efficient and professional work environment.

This role involves a combination of administrative management, client support, and office coordination — perfect for someone who thrives in a structured setting and takes pride in keeping operations running smoothly.

Key Responsibilities

  • Oversee daily office operations and ensure a professional, efficient environment
  • Manage calendars, schedules, and appointments for consultants and staff
  • Handle incoming calls, emails, and client inquiries in a courteous and professional manner
  • Maintain organized records, files, and client documentation (digital and physical)
  • Prepare and process billing, invoices, and correspondence
  • Support tax consultants and bookkeepers with document tracking and scheduling
  • Maintain and update databases, client lists, and administrative records
  • Assist in onboarding new clients and setting up accounts in company systems
  • Track Preventative Maintenance and call logs accurately
  • Identify opportunities to improve workflow and operational efficiency
  • Uphold confidentiality and compliance with company policies

Qualifications

✅ 1–2 years of experience in office administration, office management, or administrative support
✅ High school diploma or GED required (Associate degree preferred)
✅ Proficient in Microsoft Office (Word, Excel, Outlook) and Google Workspace
✅ Strong verbal and written communication skills
✅ Excellent attention to detail and organizational skills
✅ Ability to multitask and manage time effectively in a fast-paced environment
✅ Problem-solving mindset and willingness to take initiative
✅ Customer service–oriented with a professional demeanor
✅ Reliable, punctual, and trustworthy
