We are seeking a reliable and detail-oriented Office Assistant to help support administrative operations and enhance the client experience.
Position Overview
The Part-Time Office Assistant will provide administrative support to ensure the smooth operation of the practice. This role is ideal for someone who is highly organized, professional, proactive, and comfortable working independently in a remote environment.
Responsibilities
- Monitor and respond to client inquiries via email and phone
- Assist with scheduling appointments and managing calendars
- Send intake paperwork and support new client onboarding
- Maintain and organize digital files and client records
- Verify insurance information and assist with administrative follow-up
- Process and track practice-related documents and forms
- Assist with basic bookkeeping and expense tracking as needed
- Support social media, newsletters, or marketing projects (optional)
- Complete miscellaneous administrative projects as assigned
- Maintain strict confidentiality and adhere to HIPAA requirements
Qualifications
- Excellent written and verbal communication skills
- Strong organizational skills and attention to detail
- Ability to work independently and manage multiple tasks
- Comfortable learning and using technology platforms
- Proficiency with Google Workspace (Docs, Sheets, Calendar) and email
- Previous administrative, customer service, healthcare, or office experience preferred
- Experience working in a mental health, healthcare, or private practice setting is a plus

Schedule & Compensation
- Temporary*, part-time position
- Approximately 5–10 hours per week (flexible)

- Hourly compensation based on experience
