What are the responsibilities and job description for the Customer Experience & Operations Coordinator position at fatcork?
Seattle, WA, Monday - Friday, an in-person role with flexibility to work from home on certain days.
About fatcork:
We’re a boutique Champagne club, bottle shop and tasting room partnering with small, independent producers to import the world’s best Champagne from France. From our headquarters in Seattle, we sell directly to consumers all over the U.S. through our website, quarterly club and tasting room. We’re Champagne enthusiasts, but we’re also an innovation-driven, growth-oriented business that values joy, creativity and a strong, “all hands on deck” work ethic.
The Role:
We're looking for an ultra-organized and people-oriented Customer Experience & Operations Coordinator to join our team. This is a pivotal role for fatcork — one that sits at the center of how we import, sell and deliver Champagne to our members and customers across the country. You'll work directly with our founder across three key areas: imports, website and online sales growth, and club-fulfillment operations.
This is not a siloed desk job. You'll own critical systems, work directly with customers and help shape how fatcork operates as we grow. You’ll be an integral part of our small, founder-led team. If that all sounds great AND you have a positive, approachable attitude and a genuine enjoyment of working with others, we want to meet with you!
What You'll Do:
Club & Allocation Operations
- Own quarterly club fulfillment end-to-end — setting up each allocation release in Bloom and syncing data to Shopify
- Manage allocation processing accurately and on schedule, working with customers’ unique preferences
- Ensure orders are routed correctly through our fulfillment workflow and resolve issues quickly
- Monitor data across platforms (Shopify, Bloom, ShipStation) and maintain a single reliable source of truth
- Integrate and sync customer data across platforms including the Bloom app (for club processing) and ShipStation
- Process club allocations, setting up each quarterly release in Bloom and transferring data from Bloom to Shopify
- Coordinate creative asset timelines for quarterly member communications including tasting cards and our member newspaper, working alongside our creative team
Imports
- Work closely with the founder on all aspects of importing — including COLA filings and compliance coordination. Must be a master organizer with strong spreadsheet skills and comfort using AI.
- Coordinate purchase orders with growers in France, communicating with the transportation team, optimizing pallet numbers to fill containers and projecting timelines of import and custom procedures
- Project future inventory needs up to a year in advance based on club demand, sales trends and allocation planning
- Assist with ordering from our suppliers and ensure incoming inventory is accurately tracked and organized
- Upload and organize 200 SKUs in Shopify, managing price points and margins with the help of spreadsheets and AI
Online Sales
- Drive direct-to-consumer sales growth through a well-organized, conversion-focused website
- Optimize website flow, user experience and the online ordering process to reduce friction and increase sales
- Support SEO efforts to improve organic visibility and attract new customers
- Track monthly SEO and online sales reporting
- Work alongside our creative team to ensure website content, product pages and brand assets are current and compelling
- Identify and act on opportunities to improve how customers discover, navigate and purchase on our site
What We're Looking For:
We care more about who you are than what your resume says. If you're organized, resourceful and eager to learn, we'll teach you the rest.
- Exceptional organizational skills — you track every detail and nothing falls through the cracks
- Expertise in SEO
- Experience with or strong interest in e-commerce, DTC sales and website optimization
- Familiarity with Shopify or similar e-commerce platform
- Experience with order management or fulfillment tools (experience with ShipStation is a plus)
- Strong Excel and advanced spreadsheet skills (e.g., experience with pivot tables, formulas and dashboards)
- Comfort working with inventory data, SKU organization and demand planning
- Clear, confident communication skills, both in writing and over the phone
- Comfort juggling multiple responsibilities in a dynamic environment
- Proactive mindset — you take initiative without needing to be micromanaged
- A collaborative team player who genuinely enjoys working with people
Compensation:
- Dependent upon experience
- Salary details will be discussed with qualified candidates. We believe in finding the right fit first.
Benefits:
- Paid Time Off (PTO)
- Company healthcare with 50% of premiums covered by fatcork
- Quarterly bonus incentive program
- Monthly Champagne allotment
Why This Role?
For the right person, this is a dream job. You'll own projects, experience a wide range of tasks and influence fatcork’s growth and success. You'll work alongside a friendly, Seattle-based team that is eager to recognize your unique contributions.
