This role is the first point of contact for clients, subcontractors, and vendors, and plays a key part in keeping communication flowing between the field and the office. Core Reception & Office Responsibilities
- Visitor Greeting & Security: Welcome guests, subcontractors, and vendors; maintain visitor logs.
- Phone Management: Answer and route incoming calls promptly and professionally.
- Mail/Deliveries: Process all incoming/outgoing mail and packages, including time‑sensitive checks.
- Office Upkeep: Maintain tidy reception, conference rooms, and kitchen; restock supplies; coordinate equipment repairs (including HP plans printer service).
Construction‑Specific Administrative Support
- Project Setup: Enter new job information into QuickBooks.
- Permit & Registration Management: Maintain city registration records and complete annual renewals.
- Compliance Support: Assist A/P with collecting subcontractor insurance certificates and W‑9s.
- Lien Waiver Tracking: File and track lien waivers to ensure project compliance.
- Invoicing Assistance: Collect, scan, and organize vendor statements.
- Resale Certificates: Complete and submit as needed.
- Project Logistics: Log and order dumpsters and port‑a‑potties upon request.
- Subcontractor/Vendor Liaison: Serve as the point of contact for subcontractors picking up checks and general front‑office inquiries.
Required Skills & Qualifications
- Software Skills: Proficiency in Microsoft Office (Word, Excel, Outlook).
- Industry Familiarity: Understanding of construction terminology and project workflows is a plus.
- Notary Public: Willingness to become a notary (commonly requested for this role).
- Soft Skills: Strong attention to detail, ability to prioritize in a busy environment, and excellent interpersonal communication.
