Job Description
The Inside Sales Specialist owns the pre-award materials sales cycle (RFQ → PO) and is directly responsible for generating revenue through quoting, follow-up, and deal conversion.
This role proactively identifies opportunities, develops competitive quotes, and executes disciplined follow-up to secure purchase orders.
This is a revenue-producing role. Success is measured by conversion rates, activity, and revenue generated—not just quotes delivered.
Essential Duties and Responsibilities
Revenue Generation & Opportunity Ownership
- Own a segment of materials opportunities and contribute directly to revenue growth
- Actively look for work to quote, not just respond to inbound requests
- Identify opportunities by:
Mining past quotes (lost, expired, no response)
Reviewing inbound RFQs and customer inquiries
Partnering with BDS, MSS, and Operations
- Focus on repeatable opportunities that drive consistent revenue
RFQ & Quote Execution
- Manage RFQs (non-complex / <$500K / no BOM required)
- Develop accurate, competitive, and timely quotes
- Align pricing with margin expectations and cost structures
- Identify opportunities to expand scope, bundle products, and improve margins
Follow-Up & Deal Conversion
- Own the follow-up process from quote to PO
- Execute consistent follow-ups via calls, emails, and CRM tasks
- Actively work to close business and remove barriers to award
- Reduce aging quotes and improve conversion rates
Customer Engagement
- Serve as a responsive and reliable point of contact
- Build relationships through speed, consistency, and communication
- Understand customer needs and buying patterns
Cross-Functional Collaboration
- Partner with:
BDS (Business Development Specialists)
MSS (Material Sales Specialists)
Operations and Customer Service teams
- Ensure smooth handoff post-award
CRM & Pipeline Management
- Maintain accurate records in HubSpot
- Track quotes, follow-ups, and opportunity status
- Manage an active and prioritized pipeline
Administrative Execution
- Execute all tasks required to move quotes efficiently to PO
- Ensure accuracy, completeness, and readiness for execution
- Support internal coordination needed to close business
Success Metrics
- Revenue generated (monthly/quarterly)
- Quote-to-order conversion rate
- Response time to RFQs
- Follow-up activity (calls, emails, tasks)
- Pipeline size and health
- Revenue per RFQ
- Reduction in aging quotes
- Quote volume and activity consistency
Role Clarity
- Inside Sales: RFQ → PO (Pre-Award)
- Customer Service: PO → Delivery (Post-Award)
- BDS/MSS: Strategy and larger opportunities
Job Requirements
- 2–5 years of inside sales or related experience
- Strong communication and organizational skills
- CRM experience (HubSpot preferred)
- Ability to manage multiple priorities
- Positive attitude, willingness to learn, and ability to collaborate across teams.
Minimum Qualifications
- High School Diploma or GED required
- Industry or materials sales experience preferred
